ABOUT THE ROLE

Cover all aspects of day to day running of the Warehouse and Customisation Facility, to fulfil customer orders in a timely and accurate manner to meet Quality Standards and achieve Service Level Agreements and departmental KPIs. Facilitate the inspection of all in-coming materials / product.

KEY ACTIVITIES

Resource Allocation

1. Supervise the day to day activities of a warehouse department ensuring excellent customer service, high productivity, scheduling staff and ensuring a safe work environment.
2. To adhere to the company’s Equal Opportunities policy and Dignity at work policy in all activities and to actively promote equality of opportunity wherever possible.
3. Monitor all activities within the facility, to ensure the efficient allocation of duties.
4. Rotate staff in accordance with current standards, to create a balanced work team.
5. Conduct regular one-to-one meetings, plus employee performance reviews.

Controlling Internal & External Product/ Material Flows

6. Plan and co-ordinate the incoming goods, storage and dispatch of items in a timely and efficient manner to achieve your team objectives and Key Performance Indicators (KPIs), as determined by the Warehouse Manager.
7. Ensure daily dispatch targets are achieved and outstanding customer orders are prioritised effectively.
8. Liaise with the carriers used to ensure efficient delivery to customers.
9. Be responsible for ensuring that the quality of the product, storage conditions and service within the department is maintained at the highest possible standards for the customer.
10. Maintain the accuracy of stock, always using stock rotation and by promptly investigating any stock discrepancies.
11. Maintain quality, batch control and traceability of stock and to ensure the department operates to the quality manual.
12. Organizing and ensuring accurate and periodic cycle counts and stock takes.
13. Ensure effective, safe, accurate and timely stock management to include space allocation, stock transfer and dealing with non-confirming product.
14. Organise goods returned stock in accordance with the goods return policy.
15. Manage the association of all products to the correct barcodes were applicable.

Customisation

16. Customising pouches in accordance with patient requests.
17. Maintain accurate customer records, ensuring the template database is up to date and any additions or amendments acted upon with urgency.
18. Completing daily / weekly checks and monthly reports.
19. Provide in-depth training as and when required.
20. To ensure all cutting quality issues are investigated and acted upon.
21. Investigate customisation complaints and report on findings.
22. Ensure the customisation machine is adequately maintained and kept clean and tidy.
23. Attending the cutting development team forum when required .

Health and Safety

24. Carry out annual risk assessments when required.
25. Attend regular Health and safety committee meetings.
26. Ensure all relevant H&S training is updated.
27. Organise fire alarm test/ drills when applicable.

Continuous Improvement

28. Assist the Warehouse Manager in identifying opportunities for process improvement, making recommendations where necessary, adopting a Continuous Improvement culture.
29. Engender a culture of cleanliness and efficiency throughout the Warehouse environment, ensure that all staff and equipment perform to their optimum efficiency.
30. Assist the Warehouse Manager to achieve KPI’s including efficiencies, resourcing, quality, waste, compliance and throughput.

Other

31. Liaising with other departments within the business group to ensure the common goal is achieved.
32. To be responsible for your own health and safety and that of your colleagues, in accordance with the company’s’ Health and Safety policy.
33. To undertake any sampling/ relabelling process as required in accordance with customer’s requirements
34. To ensure any export documentation is obtained to enable shipment.
35. To be responsible for site security as well and a key holder for the site.
36. To adhere to the company’s Quality policy and Environmental policy.
37. Maintain a system of document control and archiving.
38. Be prepared to undertake any internal / external training as required.
39. To be flexible as possible with working hours at times of heavy workload.
40. To undertake other duties as may be reasonably required.

KEY SKILLS

Essential

41. Supervisory experience of a large team within a warehouse environment.
42. Experience in using digital warehouse stock control systems.
43. Computer literacy.
44. Working knowledge of using word processing and spreadsheet packages.

Desirable

45. Articulated forklift certification.
46. Warehouse system experience e.g. SAGE, SAP.
47. First Aid trained.
48. Warehouse relevant training, COSH etc.
49. Team management training.

KEY WORKING RELATIONSHIPS

Internal

50. Warehouse team working at the Comber site.
51. All internal departments.
52. Group Operations team
53. Reporting to Warehouse Manager

External

54. Product suppliers, couriers, plus any other visitors to the Comber site.
55. Transport/ courier companies of incoming and outgoing product.

ADDITIONAL INFORMATION

56. Objective based bonus
57. Monday-Friday 08.30-17.00
58. Total 40 hours per week
59. Responsible for warehouse operatives
