The Cleft Service displays a team approach providing holistic care to the family into which a child with a cleft lip and/or palate is born. The network will provide multi-disciplinary specialised care/treatment for at least the first 20 years of life to produce optimal physical function, psychological adjustment and aesthetics.
As an Assistant Service Manager within the Cleft Service, you will;
1. Be responsible for leading, managing, training and supporting the administrative staff on a day-day basis to support the Cleft Service
2. To support the Performance and Operations Manager to ensure a service delivers care within appropriate waiting times and monitor demand and capacity.
3. To oversee and have knowledge of inpatient and outpatient activities.
1. Line-manage administrative staff: allocate work, appraisals, recruitment, training, sickness/leave cover, team meetings
2. Motivate and support staff to achieve service objectives
3. Work with clinical teams to ensure theatre and clinic capacity is fully utilised
4. Monitor and book outpatient, inpatient, and daycase services; plan capacity and highlight shortfalls
5. Support planning of additional capacity to meet access, RTT, and age-related targets
6. Identify potential waiting time breaches; develop improvement plans with managers and clinicians
7. Record and update admissions on PAS
8. Deputise for Performance & Operations Manager at meetings
9. Develop administrative policies and procedures in line with Trust requirements
10. Manage non-clinical supplies and maintain policy/procedure manuals
11. Maintain complaints/compliments register and sickness/leave records, including payroll return
12. Communicate sensitively with patients, relatives, staff, GPs, consultants, and external agencies
13. Identify and propose improvements to administrative systems impacting patient services
14. Support Clinical Director and Ops Manager with patient care coordination, meetings, training, and projects
15. Ensure timely inter-provider transfers for cleft patients on RTT pathways
16. Lead admin team in organising multidisciplinary cleft clinics and managing patient data
17. Provide support to patients/parents who are anxious, angry, or confused
