We are looking for a proactive and detail-oriented Wholesale Operations & Customer Services Coordinator to join our growing team in London.
Key Responsibilities
* Process and manage wholesale and franchise orders accurately using ERP/order, across EMEA markets.
* Monitor order progress from confirmation through to delivery.
* Coordinate with the 3PL in Europe and logistics teams to ensure on-time delivery.
* Route and coordinate Ex-Works shipments, liaising with customer-nominated freight forwarders and managing customers’ booking portals.
* Prepare and manage shipping documentation and export paperwork where required.
* Prepare proforma invoices for pre-payment customers.
* Liaise with the AR team for payment discrepancies, compliance charges and credit hold.
* Handle order amendments, returns, and credit requests.
* Support the sales team with customers’ requests.
* Build relationships with wholesale and franchise partners, and respond to enquiries regarding pricing, product availability, and deliveries.
* Assist with sales orders reports and general order book management.
* Maintain accurate customer records, pricing, and order data.
* Support the implementation of process improvements and workflow optimizations.
* Maintain up-to-date documentation, SOPs, and process guidelines.
Skills, Knowledge and Expertise
* Min. 2 years of experience in a similar role, working with key accounts such as Selfridges, Harrods, Net-a-porter.
* Proficient in Microsoft Office (particularly Excel and Outlook)
* Solid understanding of wholesale order processes and logistics.
* Strong attention to detail and ability to maintain data accuracy across systems.
* Excellent organizational skills and ability to manage multiple tasks simultaneously.
* Strong communication skills, both written and verbal, for internal teams and customers.
