The post holder will work as part of a dynamic team delivering a flexible, safe, and effective antenatal screening and vaccination service for pregnant women and service users at Royal Surrey Hospital.
The maternity services offer various vaccinations to pregnant women during the course of their pregnancy. The post holder is responsible for all administration relating to the offer and administration of maternity vaccinations, including the efficient management of national ANNB screening programmes and the six vaccination programmes: Maternal Flu, Pertussis and RSV.
Job responsibilities
* Work closely with multidisciplinary teams to ensure eligible service users are offered timely vaccinations in line with national guidance.
* Maintain oversight of vaccination appointments and clinic sessions, ensuring effective utilisation and cancelling/rearranging appointments as necessary to maximise capacity.
* Order and maintain adequate stock levels of vaccines in liaison with pharmacy.
* Complete GP reporting for administered vaccines and submit monthly returns for vaccinations given.
* Verify the quality of data entered into maternity systems and filing systems to ensure compliance with national standards.
* Organise plans to provide vaccinations in line with NHS England guidance.
* Support the Maternity Vaccination Nurse/Midwife in maintaining reportable databases and developing vaccination data analysis.
* Capture all patients’ vaccination data accurately within EPR systems (Badgernet) and national/local databases.
* Implement failsafe checks for vaccination programmes under supervision of the Maternity Vaccination Nurse/Midwife, ANC Manager and Antenatal Screening Coordinator.
* Liaise and correspond with external service providers and GPs.
* Respond to telephone enquiries and refer to appropriate department members.
* Provide detailed analysis to the Antenatal Matron and Antenatal Screening Fail Safe Officer for quarterly KPIs and annual reporting.
* Attend MDT meetings with the ANC Manager, Maternity vaccination nurse/midwife and other stakeholders.
* Coordinate with community team leaders to ensure smooth running of vaccination clinics.
* Contribute to development and completion of outpatient surveys supporting the vaccination service.
* Act as the main point of contact for maternity vaccination programmes in the absence of the Maternity Vaccination Nurse or ANC Manager.
* Assist in investigating complaints or serious incidents relating to the maternity vaccination service.
* Develop and maintain an active database for the National Antenatal and Newborn (ANNB) screening programmes, including Newborn Bloodspot, Newborn and Infant Physical Examination, Infectious diseases in pregnancy, Haemoglobinopathies and Fetal Anomaly.
* Ensure all investigations in relation to National Screening programmes are accounted for.
* Support ANNB screening coordinators and Advanced Neonatal Nurse Practitioner in database maintenance and data analysis.
* Access the ANNB Fail‑Safe (Northgate) systems to ensure compliance with newborn examinations and sequencing.
* Coordinate with ward, clinic and community midwives, paediatricians, and Newborn Hearing Screening Team to maintain robust failsafe systems.
* Assess need to contact patients to complete outstanding ANNB screening services.
* Respond expediently to abnormal results and alert ANNB Screening Coordinators to avoid delay.
* Present data analysis at audit or clinical review meetings using resources such as PowerPoint.
* Assist ANNB Screening Coordinators to meet national targets and alert them to impending breaches.
* Provide daily analysis of pending breaches on failsafe systems and take appropriate action.
* Support fetal medicine consultants with referral forms for congenital anomalies.
* Check monthly that all babies had checks within 72 hours and report issues to the NIPE lead.
Qualifications
* NVQ 2 in Office Administration or equivalent experience
* A‑levels or equivalent experience
* ECDL or equivalent
