Role Summary Responsible for supervising, mentoring, and guiding the Corporate HR Administration Team and to provide HR Administration functional excellence services, including contracts of employment, payroll controls, formal audits, administration of HR Budget, HR Communications, travel account, Global Mobility, and all associated administration to support a global operation for both services and operations. Reporting directly to the Corporate Human Resources Manager. Responsibilities Responsible to ensure: WD accuracy compliance. Support the “One Truth” standard reporting by assuring accuracy on the following parameters: Headcount Updated Organigram Management Audit Outcomes and Non-Conformances Volume of transactional HR i.e. contracts, expenses etc Sickness and Absence Provide guidance and mentoring for the development of the HR Administration Team in HR general matters. Responsible for supervision of the documentation related to employee lifecycle is created, actioned, and filed timely and accurately to support grow our own talent. Ensure employment contracts for the organization are in compliance with statutory requirements and internal procedures and processes. Responsible for ensuring that the HRIS is updated with the documentation related to employee lifecycle. Responsible for performing internal quality assurance Sox and Financial control audits on Regional and Corporate payroll & administration processes, and raising improvement opportunities and outcomes to Corporate Human Resources Manager / Human Resources Services Director, following through with adjustments. Supervise HR Administration Team’s performance as gatekeeper of monthly expenses claims in a timely manner to comply with payroll cut-off times, and to give orientation for adjustments to be made to employee expenses when needed. Act as gatekeeper ensuring data quality by centrally reviewing paperwork sent by Regional HR as payroll input, identifying issues and informing Regional HR Managers and Advisors in order to establish agreed changes to the process aiming to avoid repeated mistakes. Responsible for monthly supervising the HR Budget and making it visible to the Corporate HR Team as stakeholders. Supervise all HR Communications, ensuring there is a schedule for communicating the main activities such as holidays and celebrations. Responsible for the administration and supervision of all Global Mobility contract and transactional tasks associated with the mobility of our Corporate and International Personnel. Responsible for ensuring the proper work permits for the Corporate employees are issued and renewed on a timely manner. Responsible for UK visa applications process, maintaining an updated control of all the processes under the Company’s sponsorship. Gatekeeper of Travel Procedure compliance for Corporate stakeholders. Pursue and provide recommendations to mitigate potential labour claims and/or damages to the organization by assessing risks and advising on HR related issues (promotions, disciplinary issues, grievance, terminations) to meet external statutory requirements and internal procedures. Update on a regular basis processes and procedures related to HR Administration, assisting the Regional HR Teams to create similar ones. Coordinate with C&B Team the implementation of any salary review for International and UK Corporate personnel. Supervise the Service Awards globally ensuring Regions follow Corporate standards. Ensure GDPR is considered in all HR Administration processes. Monitoring, reviewing, and updating all the HR policies ensuring these are in line with current legislation. Advise and counsel Line Managers on proper interpretation of policies, and provide support and guidance to Corporate members, including HR Team. Act as an impartial advocate to ensure that all individuals receive fair and equitable treatment, raising any concerns to management. First point for Corporate HR for individual personal HR matters. Responsible for the coordination of escalated matters on the response. Perform exit interviews for International and UK-based Corporate personnel aiming to capture information to reduce attrition. Perform quarterly checks to International and UK-based Corporate vacation to raise potential issues of carry over or loss of earned vacation by the employee, aiming to avoid it. Ensure Benefits Administration is done correctly and in a timely manner. When required, support and provide accurate guidance to Corporate Managers to ensure disciplinary and grievance matters are dealt with according to country legislation and Corporate standards. Support Line Manager in timely manner to ensure support to the Grow Our Own strategy. Participate on the Regional HR regular meetings on behalf of HR Services to capture any need of support from the HR Services Team. Qualifications and Experience Relevant experience in employee relations, administration, and compliance. Bachelor’s degree in HR or similar qualification. Organisational and administrative skills. Ability to advise and work with senior members of staff. Knowledge of employment legislation. Personable with strong communication and relationship building capabilities across all levels of the business. Ability to design clear and fair company procedures. Driven and determined. Practical and logical; able to solve problems quickly. Ability to delegate and supervise. Proven work experience as an HR advisor, HR consultant or similar role. Hands-on experience with IT programmes and various HRIS (Workday a plus). Experience in employee labour relations, including employee terms and conditions. Supervisory experience is preferred.
