Job overview
We are looking for a efficient and enthusiastic individual to provide a comprehensive secretarial and administrative service for the Consultants and medical staff for Worthing Hospital, Rheumatology team.
The successful candidate must possess excellent communication skills and will need to be competent with the use of MS Office and internal systems. The post holder should have excellent typing skills.
They will also be required to perform general office duties including answering phone calls, opening post, filing, photocopying, accurately proof‑reading documents and entering data onto department databases.
Main duties of the job
* Regularly reviewing / booking and validating from consultant's/Nurse's/Registrar f/u pending lists
* Actioning CRB (Clinic rebook) requests for clinicians leave and template changes
* Tracking and chasing of results / diagnostics / patient updates
* Review future clinics to ensure utilised, highlighting any unutilised / capacity issues
* Support typing and booking appointments
* Reviewing (past) clinic arrivals / outcomes ensuring all actioned have been completed on PAS

Detailed job description and main responsibilities
To manage a full and comprehensive medical secretarial service for the Rheumatology department.
To act as the first point of contact for all forms of communication with clinicians.
To monitor the timetable, taking an overview of the inpatient and outpatient commitments to ensure resources are not wasted.
Work without supervision, problem solve and take initiative where required.
Co‑ordinate and oversee workload of any band 3 Support Secretaries and band 2 Admin Assistants who may assist with the department workload to ensure KPIs are met.
To act as the first point of contact between the Consultants and their teams, maintaining good communication with them and other staff in the department, as well as patients and members of the public.
Person specification
* RSA III or equivalent
* Educated to GCSE or equivalent level with A‑C Maths & English.
* High level secretarial experience
* Excellent knowledge of MS Office
* Excellent knowledge of a full range of secretarial procedures & office duties
* Excellent communication skills, both verbal and written
* Flexible team worker
* Previous NHS Medical Secretary experience
