Key Responsibilities:
The role is within the SEN Strategic Policy & Legislation Directorate and will be instrumental in delivering on Ministerial priorities including the Programme for Government and the SEN Reform Agenda and Delivery Plan. The main duties will include: Ministerial and Senior Management Advice and Support Drafting of Assembly Questions Written and Oral; briefing papers for the Minister, Education Committee, Permanent Secretary, school visits etc. as required. Drafting of timely and accurate advice to Minister and Senior Management. Support the Directorate in delivering Ministerial priorities such as the SEN Reform Agenda including Transforming the Support Model, Teacher Professional Learning in relation to SEN and Career Progression Pathways for Classroom Assistants. Communication Liaising with Departmental, Education Authority and external colleagues in relation to relevant work areas. Effective communication skills to engage with colleagues, often at a senior level in the department and across external organisations, to meet tight timescales. Establish a close working relationship with office colleagues and demonstrate the ability to delegate tasks as appropriate. The ability to represent the Department at external meetings, and to represent the team at internal meetings is expected. Financial Support in monitoring relevant Directorate expenditure. Support in monitoring specific EA budget lines. Complete financial returns for Directorate as required. Information Management Proactively manage emails, correspondence, papers, etc on receipt within the Directorate. Ensure records are maintained to a high standard and in line with Departmental policy. Staff Supervision The role may include line management of administrative staff. Providing advice and guidance to administrative staff on systems and procedural issues. Organising and providing secretarial support to meetings, events and visits including recording, producing and issuing minutes. Any other duties as may be required Knowledge and Skills Well-developed organisational skills, for example being able to prioritise effectively and adapt to new situations as they arise. Ability to work flexibly on one’s own initiative without direct supervision, to work under pressure, frequently to tight deadlines and to recognise when to delegate, or seek assistance, as required. Ability to interpret and analyse information including anticipating and managing problems. Ability to work collaboratively; share information, build supportive responsive relationships with colleagues and stakeholders thereby establishing good working relationships. Knowledge of management principles and administrative processes, in accordance with GDPR. Ensuring that NI Civil Service/DE data security policy is adhered to and to ensure all personal information is handled appropriately at all times and in line with data protection legislation, DE policy and Team procedures. Essential Criteria applicants must have: A degree with a minimum of 12 months’ experience working in a similar role.
Experience in the use of Windows applications including Word, PowerPoint, Project and Excel.
Proof of 5 GCSEs including English and Maths grade C or above or the equivalent to this and 2 A-levels
Excellent IT skills, including use of Microsoft Word and Excel.
Excellent communication skills.
Proven ability to use own initiative.
