Position Description
Position Summary
The International Business Institute ( IBI ) Program Coordinator 2025-26 (PC) will facilitate the smooth functioning of the program with concern for the safety, health and morale as well as the academic and spiritual life of the students and faculty involved. Additionally, this position will require the planning and coordination of travel for the seven-eight-week semester program itinerary, including but not limited to hotel arrangements, air and ground transportation, cultural visits, corporate visits and group dinners. This position will work closely with the Program Assistant that will also accompany the program and manage the student group.

Skills, Characteristics Required for Position
The ideal candidate for this position possesses excellent interpersonal and communication skills with the ability to interact effectively with college students and faculty. The PC should be well organized and attentive to details to effectively manage and prioritize the complex nuances associated with the IBI program. The PC should be intellectually curious and possess a high degree of stamina. The PC should have prior exposure to international settings, business, culture and travel. The PC must be able to maintain strict confidentiality and security. The PC needs to be able to travel internationally and live out of a suitcase for 7-8 weeks.

Primary Duties
1. Work closely with the Department of Business Chair to plan the 7-8 week summer itinerary, this will include:
b. Round trip flight transportation to/from the United States
c. Book additional flights for IBI faculty not on group flight
d. Ground transportation during program for group
e. Coordinate group meals when scheduled on itinerary
2. Work with students during the application and acceptance process. Work with Agape Center in TerraDotta system to track applicants.
3. Work with students to obtain visas and necessary travel documents (new to 2026 will be ETIAS for Europe)
4. Work individually with international students travel needs.
5. Coordinate student pre-departure meetings
6. Monitor IBI email account, social media accounts and posts
7. Process all wire and pre-payments for accommodations, flights, etc. prior to travel
8. Complete and submit flight lists
9. Complete and submit hotel rooming lists (required by hotel)
10. Order any clothing, portfolio or gift items needed throughout the year
11. Work with Agape Center to obtain travel insurance and update their office with all necessary travel documents.
13. Communicate with parents, when necessary.
14. Work with various Messiah departments to determine students financial aid and payments. Collect and track payments.
15. Register group with Embassy prior to travel.
16. Submit grades to registrar’s office for each student participant.
Responsibilities while traveling on program:
1. Travel to Europe to undertake an itinerant lifestyle for the duration of service.
2. Assist in the orderly arrival / departure of airports and hotels and the loading of the coach.
3. Assist in room allocations and maintain a record of such.
4. Assist with student curfew, student fidelity to the Community Life Standards, daily attire expectations and punctual adherence to the daily schedule.
5. Accompany faculty and students on corporate and organizational visits and oversee the movement of students in and out of the facility.
6. Assist with the administration of various academic activities (e.g., quizzes, writing assignments, classroom preparation, etc.).
7. Help build a community of care among the students with focus on team building and conflict resolution.
8. Participate in the rotation for daily devotions and facilitate discussion / reflection groups as needed.
9. Foster healthy and safe recreational and group activities and spend time getting to know the students.
10. Accompany students to doctors, clinics and hospitals as necessary.
11. Provide encouragement and counsel to students who are in need.
12. Handling various tasks, situations, and emergencies.
13. Provide leadership for the program in the absence of the Managing Director and faculty.
14. Assign, prepare and coordinate rooming assignments for lodging, changing roommates every week.
15. Prepare and distribute country introduction information sheets, containing cultural clues, things to see, currency, time zone, any travel suggestions.
16. Prepare and distribute corporate visit information sheets, containing company industry, tips about the company, website & contact info, and related current news or info.
17. Assist in purchasing public transport tickets and/or cultural site visits with program assistant.
18. Prepare lunches, as needed with program assistant.
19. Manage Messiah issued p-card, reconcile and record receipts in a timely fashion.
