The Role
The Administration Assistant will provide comprehensive and proactive administrative support to the Administration Lead and Site Administrators. A highly organised and detail-oriented individual. The role requires handling sensitive and confidential information with discretion and providing flexible cover for the Site Administration teams as needed.
Key Responsibilities
* Provide administrative assistance and support to the Administration Lead and Site Administrators.
* Gain a thorough understanding of time-writing and project buyer procedures to maintain required standards. Provide cover for the Site Administrator role during periods of absence, such as annual leave or sickness.
* Handle sensitive and confidential personnel data in strict accordance with General Data Protection Regulation (GDPR) requirements.
* Procure and manage office supplies, monitoring stock levels and placing orders as needed.
* Support payroll by accurately inputting weekly timesheets into the MPower system.
* Collate and maintain the project asset register, including the control and distribution of company assets.
* Preserve project records by maintaining and organising both electronic and printed files.
* Manage Personal Protective Equipment (PPE), including placing orders, monitoring stock, and tracking distribution.
* Raise purchase orders via the SAP system and resolve invoice queries, including processing purchase order amendments.
* Process Goods Receipt Notification (GRN) documentation, including proof of deliveries and collection notes.
* Attend meetings, take accurate and detailed minutes, and distribute them to all relevant parties in a timely manner.
* Organise and book travel / accommodation for staff members as required.
* Schedule meeting rooms and arrange catering for meetings or training sessions.
* Perform various other administrative duties to support the team, as required.
Skills and Experience
Essential:
* Proven experience in an administrative support role.
* Proficiency in Microsoft Office Suite, including Teams, Word, Excel, and Outlook.
* Strong organisational and time-management skills with the ability to multitask and prioritise effectively.
* Excellent written and verbal communication skills.
* A keen eye for detail and strong problem-solving abilities.
* Experience handling sensitive information with discretion and maintaining confidentiality.
* Ability to work both independently and collaboratively as part of a team.
Desirable:
* Experience using specific software such as SAP or MPower. (although training will be provided)
* Previous experience working in a busy office.
