Portico Port Services provides first-class staff to the cruise, ferry, cargo and ports industries and is part of the Portico family of companies. We have an exciting opportunity for the right candidate to join our expanding team as a Port Services Coordinator. The role will provide administrative support to the operations team at the port facility. To be responsible for preparing operational paperwork, handling administrative tasks, supporting recruitment efforts, reporting on health and safety, and monitoring performance metrics.
Key responsibilities:
· Prepare and process all operational paperwork in line with company policies and procedures.
· Manage administrative tasks including validation of staff hours, processing of vessel-related invoicing and KPI tracking
· Allocate staffing for each vessel operation based on submitted labour requests, ensuring appropriately skilled personnel (e.g., skilled operators, mooring assistants, marshals) are assigned.
· Facilitate the onboarding and induction process for new casual workers, ensuring compliance with company policies and smooth integration into the business.
Qualifications/experience:
· Good standard of education without being prescriptive.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other business systems (e.g., SharePoint, Teams, or similar platforms).
· Understanding of basic HR processes (e.g., onboarding) and financial procedures (e.g., invoicing, timekeeping) is an advantage.
· Proven previous experience in an administrative role, preferably in a port or logistics environment.
· Strong knowledge of administrative procedures and protocols.
· Excellent organisational and time management skills.
· Ability to maintain confidentiality and handle sensitive information.
· Resilient with the ability to work under pressure and meet agreed deadlines.
· Flexible in working days and hours.
· Strong customer service experience and communication skills.
· Highly organised and methodical person, able to work independently and within a team.
