Your role at Veezu: The Facilities Support Officer is a dynamic, front-of-house role that ensures the efficient operation and maintenance of office facilities while providing a welcoming and professional environment for staff, visitors, and clients. This role combines administrative duties, facilities management, and support to foster a safe, functional, and engaging workspace. What you’ll do: FACILITIES MANAGEMENT Oversee the day-to-day management of office facilities, including cleaning, maintenance, and repairs. Liaise with contractors and vendors for facility-related services, ensuring timely and quality delivery. Conduct regular inspections to ensure the office meets health, safety, and environmental standards. Manage office supplies and inventory, ensuring stock levels are maintained. Maintain and update facilities-related documentation and records. Support the Facilities Manager with budget tracking and expense management. Assist in coordinate office moves, setups, or refurbishments. OFFICE ADMINISTRATION Serve as the first point of contact for visitors, ensuring a warm and professional welcome. Manage the office, maintaining a tidy and professional appearance. Coordinate incoming and outgoing mail, courier services, and deliveries. Ensure meeting rooms are prepared, equipped, and maintained to a high standard. Manage office supplies, inventory, and procurement. HEALTH AND SAFETY / COMPLIANCE Monitor compliance with health and safety regulations and company policies. Maintain records related to fire safety, risk assessments, and workplace hazards. Organize and conduct health and safety training for staff when required. Act as the point of contact for any safety-related issues or incidents. Report and address any hazards or incidents promptly. Adhere to company policies and procedures Ensure that customer, passenger, Driver Partner & colleagues’ information is safeguarded at all times, in line with the General Data Protection Regulation (GDPR) Be committed to maintaining our ISO27001 certification and set high standards for Information Security compliance Maintain information security to a recognised required standard in line with business needs BUDGET AND VENDOR MANAGEMENT Help manage the facilities budget, ensuring cost-effectiveness and efficiency. Negotiate contracts and agreements with suppliers and service providers. Request approval for invoices related to facility operations. CROSS-LOCATION SUPPORT Primarily based within our Veezu North region with occasional travel to other hubs for support as needed. Collaborate with colleagues across multiple locations to ensure consistency in facilities management PERSONAL ATTRIBUTES: Proactive and resourceful with a problem-solving mindset. WORK ENVIRONMENT : Office-based with occasional travel to other locations. May require occasional flexibility in working hours to address urgent facility issues or co-ordinating and hosting events. What you’ll need: Previous experience in facilities management, office administration, or a related field Strong organizational and multitasking skills. Strong communication and interpersonal abilities. Proficiency in Microsoft Office Suite and basic knowledge of facility management systems. Familiarity with health and safety procedures (desirable). NEBOSH or IOSH certification in health and safety (desirable). Where you’ll be: This role will be based on-site.
