Mayfield Medical Centre is looking for a motivated and reliable administrator to join our Patient Services Team. You would be joining a dedicated team who deliver a high standard of administrative support within the practice to meet the needs of our patient demographic.
Main duties of the job
As a member of frontline staff you will be the first point of contact for our patients and visitors. You will need to be non-judgemental with excellent communication and listening skills. We are a very busy practice so you must be able to deal objectively and professionally in a calm and approachable manner when liaising with patients, staff, healthcare professionals and outside agencies. Our core opening hours are 8am - 6:30pm and the successful candidate will be required to be available to work during these times and across our 3 sites covering Paignton and Brixham.
Primary Key Responsibilities:
a. Answer incoming phone calls, transferring calls or dealing with the callers' request appropriately
b. Maintain and monitor the practice appointment system
c. Signpost patients to the correct service
d. Manage all queries as necessary in an efficient manner
e. Input data into patients' healthcare records accurately
f. Process personal, telephone and e-requests for appointments
g. Support Line Manager with general tasks as requested
h. Complete opening and closing procedures in accordance with the duty rota
i. Photocopy documentation as required
j. Data entry of new and temporary registrations and relevant patient information as required
k. Maintain a clean, tidy, effective working area at all times
l. Monitor and maintain the reception area and notice boards
m. Action incoming emails and correspondence as necessary
n. Support administrative staff, providing cover during staff absences
o. Undertake all mandatory training and induction programmes
p. Attend a formal appraisal with their Line Manager at least every 12 months. Objectives will be set, and progress reviewed on a regular basis so that new objectives can be agreed.
