As a Senior Executive Assistant in the Global Transportation Group, you will provide essential administrative support to our team. You will manage day-to-day tasks, ensuring smooth operations and effective communication. This role offers the chance to engage in diverse responsibilities, from business assistance to core administrative duties, all while maintaining confidentiality and professionalism.

Job Responsibilities

1. Manage and organize diaries proactively
2. Provide client phone coverage
3. Handle contact management and digitize business cards
4. Book and manage global travel arrangements
5. Coordinate logistics for business trips
6. Set up meetings and conference calls, both internally and externally
7. Support staff activities, including joiners, leavers, and team events
8. Oversee office management and physical file organization
9. Process expenses and provide budget/finance support
10. Perform ad hoc duties as required

Required Qualifications, Capabilities, and Skills

11. Excellent written and verbal communication skills
12. Proven reliability in diary management and travel planning
13. Strong client-facing and interpersonal skills
14. Ability to multitask and prioritize in a demanding environment
15. High attention to detail
16. Team player with the ability to build strong relationships
17. Proactive approach and ability to anticipate needs
18. Flexibility and adaptability as the team grows
19. Professional demeanor with a calm and composed attitude

Preferred Qualifications, Capabilities, and Skills

20. Experience in a global or multinational organization
21. Familiarity with office management software and tools
22. Previous experience supporting senior executives
23. Strong problem-solving skills
24. Ability to work independently and as part of a team
25. Knowledge of financial processes and budget management
26. Experience in organizing large-scale events or meetings
