Summary
Freedom is currently recruiting for the role of Commercial Administrator to support our commercial team based in Stowmarket.
Key responsibilities include:
* Assist with preparing, processing, and verifying subcontractor payment applications.
* Check subcontractor timesheets, dayworks, variations, and supporting documents.
* Prepare and submit valuations, invoices, and payment applications as per contract terms.
* Raise purchase orders and goods received notes (GRNs), ensuring alignment with budgets.
* Support the preparation of client quotations for construction and R&M works.
* Compile professional quotation packs for client review.
* Create and submit completion packs, including handover documents and photographs.
* Assist in preparing and justifying commercial claims with cost breakdowns and supporting records.
* Track client instructions, variations, and scope changes for review.
* Maintain accurate records on network drives with proper naming conventions.
* Perform regular housekeeping of the company's CAFM system and update records.
* Liaise with operational teams to gather and validate project data.
* Support cost tracking, reporting, and forecasting across multiple contracts.
* Assist with monthly cost reconciliations and commercial summaries.
* Support tendering and procurement by issuing inquiries and obtaining quotes.
* Manage commercial documentation, ensuring timely filing and control.
* Follow up on outstanding information from suppliers and teams to prevent delays.
* Monitor contract compliance and report discrepancies.
Qualifications and Skills:
* Provide administrative support to commercial and operational teams.
* Assist in preparing documentation for audits and reviews.
* Ensure all records are compliant, accurate, and audit-ready.
* Handle sensitive information professionally and confidentially.
* Support ad hoc tasks as needed.
