A Bid and Proposal Executive is responsible in supporting the Bid and Proposal team in the production of customer facing documents in line with the companies’ retention, acquisition and development strategy. You will need to create, format, store and manage information for use in the production of customer facing documents by the Tender team.



Success Criteria: To be a successful Bid and Proposal Executive, you will be required to work to deadlines, and to produce on-time captivating and competitive business propositions for Sales. This requires the ability to work with key stakeholders across the Sales Channels and various DHL functions, to source, structure and produce compelling sales materials. The role requires creativity and the ability to continually improve the bid and proposal materials. Specific Role Challenges (key focus areas/challenges expected for post holder)
* Ensuring Sales materials are created with a strong attention to detail and in line with company standards
* Adhering to tight deadlines to ensure customer needs are met
* Ensuring documentation is managed in line with regulations (eg GDPR)

Accountability Activities & Responsibilities
Process
Work to a clear process for managing and maintaining the tender database of pre-written proposal-ready content. Review materials received by the organisation, on a regular basis, to identify Frequently Asked Questions that should be answered in the Knowledge Base. Identify relevant subject matter experts (SME’s) within the business, who should act as owners of pre-written content. Ensure they are engaged effectively, that they understand their role, securing commitment, from their management if necessary. Take outline information provided by the SME’s, and re-write it into a defined house style ensuring that it is articulated, and easy to use for Sales. Work with graphics and media is essential. Engage sales teams for regular feedback on the materials. Design and roll out of new sales materials ensuring they are compelling and competitive business propositions.
Safety & Security
Adhere to country laws/regulations and company procedures/ standards in regard to Safety and Security. Adhere to customs / import / export procedures as applicable. Ensure any potential security breaches or concerns are brought to the attention of supervisor/manager without delay. There may be a requirement to undertake a Counter Terrorism Check (CTC) in relation to certain duties and procedures.
Skills/Experience & Educational Background:
Skills/Capabilities
Ability to leverage their skills in storytelling and visual communication to create compelling, informative, and comprehensive presentations for Sales. Strong proposal writing skills - able to turn 'raw information' provided by SME’s into superbly articulated proposals / presentations. Good facilitation skills to evoke discussions with teams of SME’s and ensure their on-going commitment to maintaining the sales materials. Good project management skills and mind-set. Able to design, document and implement new processes as required. Able to quickly establish credibility and rapport with SME’s, and to work effectively with them to build and critique content. Motivated for working in an intensive, deadline-driven role, with the ability to prioritise workload. Excellent communication and expert time management skills. Should be able to transform the ideas of management and implement appropriate solutions in the organisation. Good analysing skills and ability to tackle critical situations. Ability to maintain constructive work relationships with the employees of all the departments.
Experience
Proficient in Microsoft PowerPoint and good Excel knowledge is essential to the role. Good MS Office skills and overall IT literacy. Experience in Adobe tools and Photoshop is advantageous.
Education/Qualifications
A-C GCSE in English and Maths or equivalent
