Overview
This busy specialty is seeking an enthusiastic, motivated person who can offer excellent administrative support to assist in the smooth running of the Endoscopy booking office. The Endoscopy Clerical Officer will have responsibility for administrative duties within the endoscopy booking office and reception area. The post holder will be responsible for ensuring an optimum level of efficient clerical support to the department in a timely and accurate manner.
Administrative experience including previous booking and/or appointment experience would be beneficial. Working knowledge of Microsoft Office applications, an understanding of data protection and maintaining strict confidentiality in the healthcare setting are essential, together with excellent organisational and communication skills, flexibility, good time management and the ability to work as part of a team.
The post is based at The Royal Shrewsbury Hospital (across main site and William Farr House) but may be required to travel and work at both The Royal Shrewsbury Hospital and The Princess Royal Hospital in Telford on a rotational basis.
Responsibilities
* Work closely with managers and staff at all levels to develop and maintain a high quality booking and scheduling service for the Endoscopy Unit.
* The Booking and Scheduling office manages Outpatient and Inpatient Endoscopy appointments across The Shrewsbury and Telford Hospital NHS Trust.
* Specific areas of responsibility include waiting list management and elective rescheduling, as well as dealing with and responding to enquiries from patients and staff.
* Provide face-to-face reception cover on a rotational basis.
Qualifications and Experience
Essential
* 4 GCSEs (Grades 9-4) or equivalent including Maths and English
* Experience of customer care
* General office processes experience
* Knowledge of software programs
* Knowledge of Microsoft Office packages (eg PowerPoint, Word, Excel) and other IT skills acquired through training and practical experience
Desirable
* Working towards NVQ in Business Admin or Customer services
* Knowledge of PAS systems
* Experience of NHS working practices
* Previous office experience
* Extensive experience of electronic scheduling
* SEMA Helix/Care Flow
Skills and confidentiality
* High standard of grammar and spelling
* Understanding of confidentiality/data protection issues
