Administrative Assistant

NES Fircroft is working with a well-renowned Crop Protection Solutions Company that is looking for an Administrative Assistant to join their team in Huddersfield. This role involves performing a variety of administrative functions including scheduling appointments, providing information to callers, composing memos, transcribing notes, researching, creating presentations, generating reports, handling multiple projects, and monitoring invoices and expense reports. The assistant may also assist with compiling and developing the annual budget.


Overview of duties includes:

1. Providing effective PA, secretarial, and administrative support to the Manufacturing Plants and Huddersfield Site.
2. Supporting Plant Task Force Meetings, Inquiries & Engineering Meetings.
3. Managing Q Pulse, the Quality Database.
4. Covering Occupational Health Admin Personnel duties.
5. Arranging meetings and events for site personnel, including internal, inter-site, and external attendees, and providing support as needed.
6. Maintaining tidiness and facilities within the Main Office Block and North West Office conference rooms.
7. Administering the Site Vehicle Register and updating the Joint Integrity Site List.
8. Managing the LCM Database and facilitating Town Hall meetings.
9. Carrying out other administrative duties to ensure smooth running of site departments.
10. Supporting manufacturing plants with administration and secretarial tasks, attending meetings, taking accurate notes, and producing reports and charts.
11. Arranging large events and business meetings, including booking venues, transport, and catering, and liaising with stakeholders.
12. Keeping accurate records of all site vehicles and ensuring insurance records are up-to-date.
13. Raising purchase orders and BACs requests for supplies, sponsorships, and donations.
14. Checking and maintaining conferencing facilities and supplies regularly.


Skills and Qualifications:

* At least 3 years' experience in a multi-disciplined office environment.
* 2 years' experience with Microsoft Office applications, especially Outlook.
* Strong interpersonal skills for dealing with diverse internal and external contacts.
* Experience in meeting and event coordination.
* Knowledge of purchasing processes and site communication procedures.
* Ability to meet deadlines, handle pressure, and prioritize tasks.
* Self-motivated team player with good communication skills.
* Excellent planning, organizational, and attention to detail skills.
* Customer-focused and flexible to changing needs.
* Ability to recognize and implement process improvements based on experience.
* GCSE English or equivalent; capable of writing articles, minutes, and reports.
* Proficient keyboard skills and experience with Outlook, Word, Excel, PowerPoint, Visio, SharePoint Designer, Visual Paradigm, SAP, and SharePoint.
* High school diploma required.
