Purpose of the role
* Administrative support with the management of Property and Wider Estate.
* Provision of administrative support to Land and Estates Team.
Essential Skills/ Experience/ Qualifications required
* Property administration experience
* Organised and able to work independently
* Flexible and professional approach.
* Ability to adapt as priorities/demands Proactive: takes initiative to sort problems that may not have been foreseen.
* Organisational skills and an eye for detail.
* Numerate
* IT skills, including knowledge of industry-specific software.
* An analytical mind, with strong problem-solving skills.
* Interpersonal and communication skills, both written and oral.
* Time management and Teamworking skills.
Desired Skills/ Experience preferred
* Service Charge experience
* Credit control experience
* Previous user of MRI and/or Proactis software
* Use of QUOODA
* Knowledge of H+S requirements of property management including compliance
Duties of the role:
* Management of MRI property management software, liaising with external agent and internal team to input and export data.
* Working with property managers and external agents to prepare and update service charge budgets
* Chasing of rent and service charge arrears
* Organisation of meetings
* Liaison with tenants
* Liaison with contractors, including instructing minor works.
* Raising purchase orders
* Taking and responding to phone and email enquiries
* Collating and preparing reports
* Uploading of documents for approval and/or signing
* Uploading of reports to QUOODA
* Coding of utilities invoices, taking meter readings and arranging invoices where utilities are sub-metered to tenants
* Assisting with general admin duties and office management
