Role Summary
Lead a document control team, establishing objectives, implementing document management systems, ensuring compliance, providing training, and maintaining reporting for project teams and senior management. The role focuses on document strategy, quality control, collaboration across engineering projects, and continuous improvement.
Responsibilities
* Implement and manage document control processes and systems, ensuring accurate recording, updating, and tracking of all project documents.
* Ensure all documentation meets quality standards and complies with project requirements, industry regulations, and legal and regulatory requirements.
* Collaborate with project managers, engineers and external parties to coordinate the distribution and flow of documents and facilitate effective communication.
* Manage version control of project documents, maintaining up-to-date information for all stakeholders.
* Provide training and support to project team members on document control procedures and systems.
* Generate and maintain reports on document status, progress, and compliance for project teams and management.
* Oversee the proper archiving of project documents and records in compliance with legal, regulatory, and company requirements.
Essential Skills & Experience
* In-depth knowledge of electronic document management systems (EDMS) and related software applications.
* Familiarity with industry standards for document control and quality management systems, and regulations affecting document management within engineering.
* Understanding of legal, regulatory, and compliance aspects related to document and records management.
* Leadership and team management experience – able to set objectives, delegate tasks, and monitor performance.
* Strong organisational and planning skills – manage large volumes of documents and complex information systems.
* Excellent communication skills, both written and verbal.
* Analytical and problem‑solving skills with meticulous attention to detail.
* Experience in document control or information management (5‑7 years) in engineering, construction or related technical field.
* Project management experience and awareness of how document control activities integrate with project execution is an advantage.
Desirable
* Professional certifications – e.g., PMP, Certified Document Controller, or similar.
