Overview

Job Opportunity at Arts In Action CIC. Administrative Assistant / PA (Freelance, Part-Time) for a community arts-based CIC. Location: Hybrid (Remote & Occasional On-Site). Contract: Part-Time, Freelance. Salary: £6,000 per annum total (£12.50 per hour). Hours: Approx. 10.5 hours per week (with flexibility to adjust during busy periods) 47 weeks per year, with potential for hours/role to be extended in the future.

About Arts in Action CIC: Arts in Action CIC is a community-focused organisation (CIC) that uses the arts to support marginalised individuals, young people, and children who have fallen through the education system. Our work includes creative education programmes, community outreach, and commercial arts initiatives. We are seeking a proactive and highly organised Administrative Assistant / PA to help streamline operations, manage essential documentation, and assist with funding applications. This role is hybrid, with some time in the studio office and some from home.


Role

The Administrative Assistant / PA will support day-to-day operations, manage emails and contacts, handle invoicing and general administrative tasks, support communications, collate reports, and help with grant applications and tenders. Flexibility and the ability to adapt to a dynamic working environment are essential.


Key Responsibilities

* Administration & Organisation: Manage and maintain digital and physical filing systems; provide easy access to key documents, policies, and contracts.
* General administrative tasks: scheduling, document preparation, internal communications.
* Website & forms: assist with updating website and contact forms.
* Social media: assist with messaging, queries and posts.
* Invoicing & finances: process invoices and support financial record-keeping.
* Stock management: oversee stock checks, organisation, and ordering supplies when necessary.
* Occasional studio tasks: assist with administrative tasks in the studio as needed.
* Funding & Tender Support: research potential grants, populate grant applications with relevant information, support tender preparation and submission.
* Communications & Reporting: act as a point of contact for customers, grant funders, and commercial partners; attend community events or online/in-person meetings when needed; compile written reports and summaries as required.
* Community & Inclusion: assist at community events; support working with neurodiverse individuals and communities with various needs; be comfortable around children and families.


Person Specification

Essential Skills & Experience:

* Strong organisational skills with experience managing files, policies, and contracts.
* Excellent written and verbal communication with high standard of English grammar; ability to edit and structure documents.
* Experience in administration, finance (invoicing), and general office management.
* Experience with Google Docs, Word, Excel; willingness to learn Wix website updates.
* Ability to research, compile, and assist with completing funding applications and tenders (advantage).
* Flexible approach to work; able to pool hours during busy periods.
* Proactive, capable of working independently and taking initiative.
* Clear DBS check (as work with children onsite).

Desirable Skills & Experience:

* Experience in arts organisations or community-focused charity/CIC.
* Familiarity with funding applications for arts or community projects.
* Understanding of working with neurodiverse individuals (e.g., ADHD, ASD, dyslexia).
* Knowledge of CRM systems, cloud-based file management (Google Drive), and administrative software.


Additional Information

* Flexible working arrangements (hybrid remote/onsite).
* Freelance role approx 47 weeks per year (to be discussed).
* Part-time role with potential for additional hours as projects expand.
* All staff are subject to a probationary period.
* Flexible role with varying weekly tasks.
