Role Overview
Bidvest Noonan is seeking a Fleet Coordinator to join the Liverpool based team. This person will oversee the operational and financial performance of the company's vehicle fleet. This role is critical in ensuring cost-effective fleet operations, accurate financial reporting, and compliance with internal controls and external regulations. The successful candidate will work closely with the group fleet manager to monitor KPIs, manage budgets, and provide insights into fleet-related expenditures and efficiencies.
Key Responsibilities of the Fleet Coordinator:
* Ensure all vehicles are roadworthy, compliant with legislation, and meet Health & Safety standards.
* Liaise with service providers to schedule maintenance and minimise downtime.
* Coordinate vehicle recovery and accident management processes.
* Maintain accurate logs for congestion charges, fuel card usage, and vehicle handovers.
* Track and report on fleet operating costs including fuel, maintenance, insurance, and leasing.
* Prepare monthly and quarterly fleet cost reports for the Fleet manager.
* Monitor and analyse vehicle utilisation and cost-per-mile metrics using telematics and internal systems.
* Support budgeting and forecasting processes by providing data-driven insights on fleet performance.
* Manage insurance claims and liaise with insurers to reduce claim costs and improve recovery rates.
* Maintain and update fleet management systems, including telematics and tracking platforms.
* Ensure all data is accurate and up to date for audit and compliance purposes.
* Generate weekly/monthly utilisation and exception reports to support financial and operational reviews.
Key Requirements of the Fleet Coordinator:
* Strong analytical skills with the ability to interpret financial data and KPIs.
* Proficiency in Excel and fleet management software (e.g., telematics, ERP systems).
* Excellent communication skills for reporting to finance and liaising with suppliers.
* High attention to detail and accuracy in documentation and reporting.
* Ability to work independently, prioritise tasks, and meet deadlines.
