Role Summary
The Executive Support & Sales Coordinator role provides high-quality administrative and operational support across two key business areas: executive support and sales coordination. This role is ideal for a highly organised, proactive professional who thrives in a fast-paced, multi-functional environment.
The role works closely with the Executive Assistant and senior leadership team while also supporting the sales team with coordination, reporting, and operational tasks to ensure smooth commercial processes and effective client engagement.
Reporting to: Executive Assistant to Director of Operations
Key Responsibilities
Executive Support
Provide day-to-day administrative support to senior executives in partnership with the Executive Assistant
Manage calendars, meetings, scheduling, and logistics for executive activities
Prepare documents, reports, and briefing materials
Coordinate internal and external meetings, including agendas, minutes, and follow-up actions
Assist with travel arrangements, expense management, and event coordination as required
Handle confidential and sensitive information with discretion and professionalism
Support process improvement initiatives within the executive office
Sales Support & Coordination
Provide administrative and coordination support to the sales team to ensure efficient operations
Processing quotations and reviewing content
Processing purchase orders
Invoicing
Prepare and manage sales documentation, including proposals, quotes and contracts
Maintain and update CRM systems, sales trackers, and customer records
Liaise with internal teams to support sales activities
Support onboarding of new clients and coordination of customer communications
Skills and Experience
3+ years' experience in an administrative, executive support, sales coordination, or business support role
Experience supporting senior leaders and/or sales teams is highly desirable
Core Skills

Excellent written and verbal communication skills
Ability to manage competing priorities across different departments
High attention to detail and accuracy
Proficiency in Microsoft Office
Experience with CRM and Sage systems
