Job Title: Office and Project Administrator
Location: Exeter
Salary: £26,000 - £28,000 per annum, depending on skills and experience
Job Type: Permanent, Full Time
Hours: Monday to Friday, 9am - 5.30pm, 37.5 per week, flexible hours offered
About us: Rand Associates provides surveying services, consultancy, and software products to the social housing sector. Our clients include housing associations, local authorities, building contractors, and consultants. We have offices in Reigate, Birkenhead, and Exeter. We are part of the M3 Housing group of companies.
M3 publishes the M3NHF Schedule of Rates and a range of associated products used for property maintenance, including M3Central, M3Vision, and M3Pamwin.
About the role: This role combines three primary elements: data analysis and processing, general administrative duties, and the administration of the Exeter office. You will support a small team working remotely across the UK, ensuring they have everything needed for their daily tasks. You will review their work for accuracy, assist in preparing data and reports for clients, and use various IT systems to process documentation. You will liaise with clients, respond to queries, and perform administrative tasks.
Key duties:
1. Reviewing incoming data and resolving discrepancies
2. Data processing
3. Data entry from multiple sources
4. Logging team progress
5. Administration of the Exeter office
6. Preparing tender documentation
7. Assisting in project setup and mobilization
8. Management of surveying equipment and software
9. Preparation of invoices and documents
10. Setting up, attending, and chairing meetings
11. Minuting meetings, managing action trackers, and distributing documentation
12. Reporting to Head of Roles, Directors, and others as required
13. Responding to ad-hoc client, customer, and internal queries
Additional responsibilities may include attending interviews/presentations, assisting with project bids, and participating in company events.
The candidate: The ideal candidate will have excellent organizational skills, a good understanding of data, be personable, communicate well, and be willing to learn. They should be able to work independently and develop efficient processes.
Essential requirements: GCSE Grade C or above in English and Maths or equivalent; ability to work as part of a team.
Desirable skills: Knowledge of MS Excel and other MS Office packages; understanding of construction-related data.
