The Department of Materials Science & Metallurgy at the University of Cambridge is seeking a proactive and highly organised Personal Assistant (PA) to provide comprehensive secretarial and administrative support to the Head of Department (HoD) and the Business Operations Manager (BoM). This is a pivotal role at the heart of the Department, supporting strategic and day-to-day operations in a dynamic academic environment. Key Responsibilities Provide high-level administrative and PA support to the HoD and BoM, including: Complex diary and inbox management Handling sensitive correspondence and prioritising actions Making complex travel arrangements Organising meetings, preparing agendas and papers, taking minutes, and ensuring follow-up on action points Processing expense claims and booking venues and catering as required Act as the first point of contact for enquiries, liaising with internal and external stakeholders Draft letters of support, visitor agreements, and other documentation Manage departmental information flows, including maintaining internal SharePoint and Dropbox records, supporting internal communications, and collaborating with the Communications Coordinator and IT team Maintain and update departmental records such as the annual "Green Book" and "Faces of Materials" Oversee the visitor administrative process, including agreements, visa support, and coordination with Finance and HR Support the allocation and use of departmental space Provide administrative support for events, committees, and recruitment activities About You You will be a highly competent and experienced administrator or PA, able to manage a busy and varied workload with discretion and professionalism. You will have a confident, approachable manner, strong attention to detail, and a proactive approach to problem-solving. Essential Criteria Previous experience in a PA/Secretarial or administrative support role Proficiency in Microsoft Office (Word, Excel, Outlook), SharePoint, and Dropbox Excellent organisational and time management skills, with the ability to prioritise effectively Strong interpersonal and communication skills, both written and verbal Knowledge and understanding of the role and responsibilities of a PA in a busy professional setting Qualification at HND, HNC, Level 4/5 vocational qualification or equivalent practical experience Desirable Experience working in a higher education or research environment Familiarity with academic recruitment processes or visitor visa administration Working Arrangements This role is primarily on-site and we are looking for someone who can be present in the Department on most days of the week, given the nature of the support required.
