Location: Bedford NS (Larry Uteck Blvd)

We’re a growing three-partner firm located in West Bedford (Larry Uteck area), offering a full range of services from bookkeeping to personal and corporate tax planning. Our clients include individuals, owner-managed businesses, and non‑profits. We pride ourselves on being approachable, collaborative, and committed to helping our clients succeed at every stage of their growth.

We’re currently seeking someone who is eager to learn, grow, and contribute to our firm’s continued success. This role is ideal for someone with strong customer service skills, a keen eye for detail, and a passion for keeping operations running smoothly.


Key Responsibilities

* Serve as the first point of contact for clients, via phone, email and/or in‑person with professionalism and due care
* Coordinate office maintenance, inventories, supplies, mail, shipping, and errands
* Maintain a clean and healthy office atmosphere (in conjunction with external office cleaners)
* Schedule meetings and appointments, and support team logistics
* Maintain organized filing systems, ensure secure document handling & coordination of secure return of client paperwork
* Assist with client intake, collections, and account follow‑ups
* Prepare and manage documents for scanning, and mailing
* Support team members with administrative tasks and client needs
* Regular and on‑going maintenance of our client database software, file storage & retention efforts
* Help maintain our client database and ensure timely document returns
* Assist with CRA document distribution and file retention complianceContribute to social media updates and website maintenance
* Participate in planning and executing company events
* Support HR functions as needed
* Be open to learning new tasks and working independently


What We’re Looking For


Required Skills

* Excellent written and verbal communication
* Strong organizational and time management abilities
* Attention to detail and problem‑solving mindset
* Proficiency in Microsoft Outlook, Excel, and Word


Assets

* Experience in office management or administration
* Familiarity with accounting software (IFirm, QuickBooks, Cantax)
* Bookkeeping or personal tax experience


Education & Experience

* 2–3 years of administrative experience
