We are seeking a highly organised and proactive individual to manage the office of the Catering Services Director and 1711 MD. This role serves as a vital link between 1711 and the broader Ascot business, ensuring seamless communication and efficient performance of our strategic partnerships. It’s a fantastic fixed term opportunity to contribute to a historic venue that hosts some of the most celebrated events in the racing calendar and beyond. What you’ll do: Office Procedure Management Ensure smooth and efficient office processes and duties. Diary and Meeting Coordination Manage MD and CSD schedules; book and coordinate meetings and meeting rooms. Administrative Support to Leadership Provide high standard support to senior leaders, including reports, presentations, and correspondence. Departmental Coordination Collaborate with department leads to ensure seamless operations across teams. Gatekeeper and Prioritisation Act as gatekeeper for MD and GM, managing diaries and prioritising tasks. Communication Handling Answer calls, schedule appointments, and follow up with contacts. Financial and Record Keeping Process expenses and invoices; maintain accurate filing and archiving. Travel and Accommodation Arrangements Organise travel plans for CSD and MD. Office Systems and Data Management Oversee office databases, systems, and procedures. Reporting and Documentation Compile weekly and monthly reports; prepare materials for meetings and board papers. Staff Welfare and Stakeholder Engagement Manage staff welfare initiatives; communicate with clients and stakeholders. Administrative Systems and Procedures Implement and maintain administrative procedures and information folders.
