INTRODUCTION
IPA is a leading capital projects think tank with offices in the United States, the United Kingdom, Australia, Brazil, and Singapore. We currently have an exciting opportunity in our EMEA head office for a Personal Assistant.
KEY AREAS OF RESPONSIBILITY
* Administrative support to three managers. Duties include calendar management, managing Outlook inboxes, arranging international/domestic travel (including securing visas), and completing expense reports
* Liaising directly with clients to support existing client relationships on behalf of managers and taking meeting minutes as required
* Compiling data for generating and editing managers’ business reports/presentations
* Event management to include internal team building/charitable fundraising events as well as external training seminars/conferences for our clients both in the UK and overseas
* Back-up support to key administrative functions
REQUIRED SKILLS AND ABILITIES
* Demonstrable experience in diary management for senior manager(s)
* Highly organised with strong attention to detail, good time management, and ability to effectively manage conflicting time-sensitive priorities while maintaining professionalism and discretion at all times
* Well-developed interpersonal skills to liaise effectively with the administrative team, the wider EMEA team, and our clients
* Excellent written and oral communication including fluency in English
* Ability to undertake and be comfortable in a clint-facing and event management/fundraising role
* Willingness to support team members
* Eligibility to work in the United Kingdom without sponsorship requirements
* Driving licence and own car as well as other languages would be advantageous but are not essential
EDUCATION & EXPERIENCE
* Minimum 5 years’ experience in a PA role
* Further Education Certificate in Business Administration, Law, English, or related subject preferable
* High general standard of education is essential including comprehension and mathematics
* Demonstrable experience with Microsoft Office including Excel with accurate and quick typing skills
* Able to demonstrate intellectual curiosity and the ability to work independently
