Job Overview
We are seeking a highly organised and detail-oriented Administrator to join our team. The ideal candidate will possess strong office and administrative experience, demonstrating exceptional computer skills and professional phone etiquette alongside the confidence and ability to manage the reception area of the centre. This role ensures the smooth running of centre operations, supports learners throughout their journey, and upholds high standards of safeguarding, customer service, compliance, and efficiency.
This position is term time only, Monday - Thursday 08:00–15:00.
Centre Administration
* Act as the first point of contact for visitors, learners, and staff at the centre.
* Maintain reception and front-of-house duties, providing a welcoming and professional environment.
* Maintain up-to-date records of centre activities and learner attendance.
* Ensure the safe and secure handling of data in accordance with GDPR and safer working practices.
* Support the organisation of events, meetings, and learner inductions.
Learner Support
* Assist with the enrolment process, including verifying identity and ensuring all safeguarding checks are in place.
* Provide learners with information and guidance on timetables, support services, and course logistics.
* Monitor learner attendance and engagement, escalating any safeguarding concerns promptly.
* Assist with distributing learning materials and administrative support to tutors and assessors.
* Build positive, professional relationships with learners while maintaining appropriate boundaries and promoting a safe learning environment.
Data Management & Compliance
* Maintain accurate learner records on internal systems in line with funding requirements, safer recruitment practices and awarding body requirements.
* Ensure compliance with internal policies, including safeguarding, health and safety, and equality and diversity.
* Support the preparation of data for audits, inspections, and internal reviews.
* Contribute to continuous improvement by suggesting enhancements to administrative processes.
Safeguarding and Safer Recruitment
* Understand and follow the organisation’s Safeguarding and Child Protection Policy.
* Ensure that all activities and interactions with learners support a culture of safety and wellbeing.
* Be vigilant and proactive in identifying, recording, and reporting safeguarding concerns.
* Participate in safeguarding and Prevent training as required.
* Assist with maintaining records of staff DBS checks, training, and safer recruitment documentation (if applicable to role).
* Adhere to safer recruitment principles when handling sensitive data and learner information.
Person Specification
* Essential:
* Experience in an administrative, reception, or learner-facing role.
* Excellent written and verbal communication skills.
* Strong organisational skills and the ability to multitask effectively.
* Competent in using Microsoft Office (Word, Excel, Outlook) and learner management systems.
* Awareness of GDPR and confidentiality in handling personal and sensitive information.
* Commitment to promoting safeguarding and equality in education.
Desirable
* Previous experience in an educational or training setting.
* Knowledge of safeguarding frameworks (e.g. Keeping Children Safe in Education, Prevent Duty).
* Awareness of safer recruitment principles and practices.

* Accurate typing skills with attention to detail in data entry.
* Previous administrative experience is preferred.
