Homes for Students is one of the UK’s leading providers of student accommodation. We are seeking a Technical Coordinator to join our Compliance team in Liverpool, working 40 hours per week, 9am to 5.30pm Monday to Friday. The successful candidate will be a part of the FM/Compliance team and drive performance of the service KPI’s whilst delivering an outstanding student experience. The Technical Coordinator has several areas of responsibility: CAFM –Overall coordination of the Main Manager CAFM system and helpdesk. CAFM – Liaise with FM180 regarding changes or innovations to Main Manager. CAFM – provide CAFM related support to property teams. REPORT– Support and produce reports to produce analytic analysis of data. Technical Inbox – Daily coordination and act as first point of contact for CAFM related enquiries. PPM – Assist with Preventative Planned Maintenance schedules and services. PPM – Monitor all non-compliance and coordinate with relevant Technical Manager to follow up. Mobilisation – Set up new properties on Main Manager. Finance – Purchase Ordering. Assets – Support Technical Team to update the company asset registers. Health & Safety – assist Technical Managers and wider FM/Compliance team where required with project works following audits. All FM/CAFM coordinators are expected to be competent in working under minimal direct supervision within their designated remit and liaising with the internal and external staff. Working mainly from the Liverpool Office with some occasional requirement to travel to properties. Duties and Responsibilities CAFM: Ensure the (Main Manager) database is up to date and the information is correct for the specified region. CAFM: Assist with CAFM implementation for new build sites and acquisition. CAFM: Assist with mobilisation of new properties and setting up of PPM maintenance program of works. Monitor and manage the technical inbox providing support on CAFM and compliance related issues and escalating technical enquiries to the relevant Technical Manager. Produce compliance reports (desktop) using Main Manager and BI Reporting for the attention of the National Technical Manager & develop reporting snapshots on Main Manager. Liaise daily and support the Technical Managers regarding compliance to ensure improvement and consistency. Liaise daily with Technical Managers on defective equipment schedule to ensure works are completed. Ensure that all PPM works are scheduled and in line with CAFM and support the Technical Managers and operations team with the performance of sub-contractors. Liaise with FM180 to ensure CAFM system is up to date and changes are being tracked and completed. Identify issues concerning compliance or H&S risk and support both the Technical Managers and operational teams to resolve the issues in a timely manner. Training: Support Technical managers to deliver Main Manager training to new employees and provide CAFM updates to the wider business. Support the wider FM/Compliance teams and Operation teams to ensure that all Health & Safety audit actions are being completed. Co-ordinate and support the timely attendance of specialist supply chain. All procedures to be in accordance with the Property Procedures Manual and that all work undertaken is carried out strictly in accordance with property safety protocols. You will be expected to work in a multitasking manner and to support other members of the team across a range of other duties as directed by your line management. Skills IT Skills - Microsoft Office 365 (particularly Excel and Outlook). Strong working knowledge of CAFM systems including mobile devices. Main Manager training will be provided. Experience of providing advice and guidance to a range of customers and colleagues. Previous experience in a property or facilities management role would be an advantage. Experience of contributing to the delivery of buildings and estates services would be an advantage. An understanding of the role of support services with experience of working in an environment in support of students would be an advantage. Excellent communication and interpersonal skills. Understanding and responding to the needs of internal and external clients. Good organisational skills. Able to exercise initiative and prioritise duties accordingly. Able to work to a high standard against agreed timescales with limited supervision. Technical Knowledge & Training IOSHH or equivalent including awareness of Health & Safety issues and the need for safe methods of working e.g.: Risk Assessments, COSHH, PTW etc. Facilities Management-related qualification or equivalent relevant experience would be desirable. Experience with facilities management and M&E systems would be a benefit. Be willing to undertake further training and work to becoming a member of IWFM.
