Team Secretary/Administrator (Mental Health & Learning Disabilities)
The Community Drug & Alcohol Team (CDAT) service seeks an organised, proactive, and compassionate Team Secretary to support the delivery of high‑quality services for individuals experiencing problems with substance misuse. This role ensures the smooth day‑to‑day running of the team through high‑quality secretarial and administrative support, helping the service deliver timely, effective and compassionate care.
Job summary
The successful candidate will manage clinical correspondence, maintain accurate patient records, arrange appointments and meetings, and support the coordination of team services. Acting as the first point of contact for patients, families and partner services, you will handle enquiries sensitively, professionally and in line with confidentiality requirements.
Strong communication and organisational skills are essential, and a commitment to supporting the Community Drug and Alcohol Team is highly valued. The ability to speak Welsh is desirable; English and Welsh speakers are welcome to apply.
Main duties of the job
* Manage clinical correspondence and maintain accurate patient records.
* Arrange appointments and meetings and support service coordination.
* Act as the first point of contact for patients, families and partner services.
* Handle enquiries sensitively and professionally with respect to confidentiality.
* Support the delivery of timely assessments and compassionate care.
Qualifications and knowledge
* Essential: RSA/NVQ 3 qualification or equivalent demonstrable experience.
* Desirable: Knowledge of clinical/medical terminology.
Experience
* Experience using Microsoft Office packages (Excel, Word, PowerPoint, Access, MS Teams, Desktop Publishing and e‑mail).
* Experience in an administrative role within a busy office environment.
* Experience producing and maintaining spreadsheets and databases.
* Experience taking and transcribing minutes of meetings.
* Experience working in a multidisciplinary team.
* Desirable: Experience with patient administration systems, working with TPro, and working within Mental Health and/or Learning Disabilities.
Other requirements
* Flexible approach to support service needs.
* Willingness to travel across Health Board locations in a timely manner.
* Desirable: Welsh Speaker (Level 1).
