JOB DESCRIPTION – FINANCE OFFICER (Part-time)
Responsible to: Finance Director & Centre Manager of Lingfield & Dormansland Community Centre (LDCC)
Job Summary: To ensure that all financial aspects of the LDCC are competently and effectively managed.
Responsibilities: Overall monitoring of LDCC's financial situation in conjunction with Accounts Assistant. Preparing reports, budgets, commentaries, and financial statements.
KEY DUTIES
Monthly Accounting:
* Perform monthly reconciliation of bank account
* Manage nominal codes and chart of accounts
* Run trial balance, profit & loss & balance sheet each month
* Check nominal codes entries for all expenditure to ensure correct allocation of expenditure
* Prepare and issue monthly interim Finance Reports for LDCC Manager, Chair and Treasurer/FD
Payroll & Salaries:
* Liaise with Centre Manager on staff hours for the month
* Enter staff hours on Moneysoft payroll system, print payslips and distribute
* Print Employers & Pension monthly summary
* Complete salaries Excel spreadsheet
* Process staff salary payments via online banking and request release by a Director
* Send end of month RT11 HMRC
* Produce other payroll documentation as necessary (e.g. P60, P45)
* Make journal entries for salary figures on Xero quarterly
* Keep salary information and implement changes as directed by Director
Pension:
* Enter staff pension contributions into NEST system
Regular Board Information:
* Monitor and discuss monthly interim Finance Reports with Centre Manager on an ongoing basis to ensure necessary action can be taken
* Prepare quarterly Finance Reports to Board of Directors, highlighting any areas of concern
* Liaise with LDCC Manager, Chairman and Treasurer/FD to resolve any queries
* Prepare and issue ad hoc interim Finance Reports as required
Investments:
* Manage the investments as instructed by the Directors
* Monitor performance of investments and report to Directors regularly
Annual Budget process:
* Prepare draft budget for the new Financial Year in conjunction with Centre Manager
* Discuss with Chairman & Finance Director. Circulate to Board of Directors prior to July/August meeting
Year End:
* Prepare Year End figures and financial information for Accountants
* Liaise with Accountants
Other duties:
* To attend Board Meetings and other meetings as required
* To assist Centre Manager/Directors with fundraising activities and grant applications
* Keeping detailed records of grants applied for and received
Companies House & Charities Commission:
* Deal with regular returns and updating Director's information as required ensuring that all relevant documentation is in place and liaising with Finance Director/Chairman on this
Governance:

KNOWLEDGE/UNDERSTANDING
* Sound financial knowledge AAT qualified or equivalent experience
* Xero accounting software – desirable
* Excel (advanced level) – essential
* Moneysoft payroll – desirable
* On-line banking – essential
* Charity Commission requirements including Companies Act
