Lead the smooth running of a busy school office, managing people, processes, and systems at Sullivan Upper School - a welcoming, high-achieving grammar school in Holywood. Office Manager Holywood, BT18 9EP Permanent, full time (36.25 hours per week) £31,022 – £32,597 per annum (NJC Points 17–20, dependent on experience) Please Note: Applicants must be authorised to work in the UK Sullivan Upper School is a large, co-educational, interdenominational grammar school located in 25 acres of scenic grounds overlooking Belfast Lough. The school's administrative team plays a vital role in ensuring that all day-to-day operations run smoothly. The Role You'll be responsible for managing the day-to-day operations of the school office, supervising staff, coordinating communications, and maintaining key administrative systems. Key Responsibilities: Oversee the daily running of the school office, supervising administrative staff Manage reception and ensure a welcoming environment for visitors and callers Coordinate communications with parents, including ParentMail and school events Maintain and update the Management Information System (MIS – SIMS or equivalent) Produce reports, returns, and data analysis for school management and governors Support key school functions such as Open Day, SEAG Transfer Tests, and Prize Day Ensure smooth administration for attendance, reporting, and student data management Provide training and support for staff using MIS and communication systems Manage office supplies, procurement, and equipment maintenance Uphold data protection and GDPR compliance across administrative processes Oversee the production and distribution of school academic reports during the school year Benefits: Competitive salary (£31,022 – £32,597 per annum) 36.25 hours per week (8:30am–4:30pm, Monday–Friday) 22 days' annual leave (rising to 26 after 5 years) 13 statutory holidays Cycle to Work Scheme Benenden Healthcare membership option Free on-site parking Pension with NILGOSC Six-month probation period with full induction and training The Ideal Candidate Minimum of five GCSEs (Grades A–C), including English and Maths At least 2 years' experience in an administrative role using Microsoft Office Office management or supervisory experience Experience handling confidential information in a professional setting Strong IT skills, including Word, Excel, PowerPoint, and Outlook Excellent interpersonal and written communication skills Proven organisational ability and attention to detail Ability to work under pressure and to deadlines Understanding of data protection and GDPR principles Desirable: OCR (RSA) Level 2 Word Processing or equivalent ICT qualifications such as CLAIT, ECDL, or MOS One year's experience at management level within a school or commercial setting Experience using C2K systems, SIMS, or other school MIS software How to apply for the role: If you have the skills and experience required for this position, click “apply” today and check your inbox for an email providing more information on how to complete your application and provide any other supporting documents.
