To provide an efficient and effective secretarial service to consultants and junior medical staff at BGH/RBH.
Responsibilities
* Accurately produce patient‑related correspondence, reports and discharges from audio/copy using appropriate software within specified timescales.
* Maintain a high standard of data quality, ensuring patient demographic details are accurate and up‑to‑date in EMIS.
* Communicate effectively with internal and external customers, acting as a liaison for clinic appointments, reports and results with other departments, GPs, hospitals and the Medical Centre.
* Respond promptly to enquiries and correspondence from GPs and patients, both written and telephone, safeguarding patient confidentiality and prioritising queries; offer solutions to potential problems.
* Transcribe letters, ensuring all letters and associated documents are copied and distributed to appropriate professionals, including patients.
* Ensure efficient audit processes concerning correspondence to maintain quality levels and rectify accordingly.
* Establish and maintain efficient office systems, including filing systems and a booking system for case‑notes (booking in/out).
* Attend appropriate training, meetings and education sessions when required.
* Collaborate with managers to review working practices, find solutions to problems and improve quality and range of services according to agreed policies and procedures.
* Ensure all mandatory training is up‑to‑date and reported accordingly.
* Record and input data onto databases and systems; provide line manager with information on cases and clinics when requested.
* Organise new and follow‑up appointments for patients for Consultant clinics, including distribution of appointment letters, handling cancellations, rescheduling over the telephone and by post.
* Work within Trust and departmental guidelines and policies.
* Perform general admin and office duties, including incoming and outgoing mail, e‑mail, photocopying and participate in housekeeping of office environment.
