Overall Purpose of the Role
We are currently recruiting for an HSE (Health, Safety & Environment) Coordinator who will act as the key focal point for all HSE matters within the organisation and be responsible for maintaining and improving our HSE management system in accordance with ISO 14001 and ISO 45001 Standards.
Location- Aberdeen, Glasgow and Edinburgh (part-time or full-time), starting August 2024.
Qualifications and Experience
The successful candidate will have:
* Good knowledge of HSE Management Systems & Standards (ISO 14001 and ISO 45001)
* Good knowledge of HSE legislation and requirements for an office environment
* Formal HSE qualification obtained (e.g. IOSH or NEBOSH)
* Experience in running initiatives to improve HSE culture
* Experience in an audit setting (internal & external)
* Internal Auditor training advantageous
* Any other relevant HSE related training (e.g. DSE Assessor) advantageous
Requirements
Primary Duties
* To be a focal point for all health, safety and environment related matters
* To promote, lead and coordinate health, safety and environment initiatives and activities across Xodus;
* To maintain HSE management system in accordance with the ISO 14001 and ISO 45001 Standards;
* To provide assistance in tendering process for HSE matters, e.g. completion of HSE questionnaires;
* To manage and update the content of XIQ HSE SharePoint Site and issue company communications;
* To consolidate monthly and annual HSE statistics reporting for management review / board updates
* To monitor applicable HSE legislation and apply to local operations as required;
* To provide guidance on the application and interpretation of HSE requirements to stakeholders;
* To manage incident reports, ensuring all accidents and near miss events are investigated and closed out.
* To act as organisation’s representative for HSE during third-party external audits (e.g. Bureau Veritas, Achilles);
* To conduct internal HSE audits in Xodus locations according to HSE Audit Plan
-To review findings and identify the opportunities for improvement, actions to be addressed;
-To communicate/ escalate findings to local management as required;
-To ensure timely close out of actions raised within internal system (XACT)
* To lead the Safety Committee:
-to organise and chair quarterly meetings,
-to guide and support members of Safety Committee team;
-to manage/chase/coordinate execution of agreed actions;
-to remove barriers to participation
Supplementary Duties
* To work towards continuously improving the HSE management system, culture and employee engagement;
* To ensure travel risk assessments are reviewed and approved at the appropriate level based on risk;
* To ensure office risk assessments are established and subject to routine periodic review;
* To assist HR in the establishment and implementation of risk assessment for new and expecting mothers;
* To ensure annual HSE Plan with measurable objectives is established and approved by top management;
* To ensure Management Review meetings are held (annually as minimum) and contribute as required;
* To report to top management on the performance of the HSE Management System;
* To consult on any change that may substantially affect the HSE Management System;
* To ensure the Statement of Principles (HSE Policy) and HSES Procedures are fully communicated;
* To ensure all personnel with specific HSE responsibilities are suitably qualified and competent;
* To manage and maintain HSE training matrix and annual HSE training budget;
* To manage annual drills schedule, developing scenarios and implementing drills and exercises;
* To contribute to internal networks such as the Wellbeing Team and company initiatives;
* To assist with information requirements and activities in line with UN Global Compact commitment.
Skills and Behaviours
The successful candidate will have:
* Proficient knowledge of all Microsoft 365 packages and strong IT skills
* Experience with SharePoint preferred, or a commitment to learn (main communication platform)
* Ability to act, and ensures others act, in accordance with all relevant internal processes and procedures
* Strong organisational and prioritising skills
* Good project management skills
* Good communication skills
* Ability to build rapport with key members of the Senior Management team
* Maintain a high level of confidentiality
* Ability to work on own initiative
* Ability to instigate changes and continuous improvement
* Ability to work accurately with attention to detail
