Responsibilities Fleet Administration & Daily Operations Support the daily administration of the company vehicle fleet, including cars, vans, and HGVs. Maintain accurate and up to date fleet records, including MOTs, servicing, inspections, tax, insurance, and vehicle documentation. Arrange vehicle servicing, maintenance, repairs, and breakdowns in line with agreed procedures, liaising with drivers, suppliers, and workshop. Log, track, and follow up vehicle defects, ensuring actions are completed and escalating safety-critical or unresolved defects as required. Administer hire and lease vehicle records, including bookings, extensions, returns, and associated documentation. Ensure fleet documentation is filed, stored, and accessible for operational and audit purposes. Compliance & Safety Maintain vehicle and driver compliance records in line with operator licence requirements, road transport legislation, and FORS / CLOCS standards. Carry out routine driving licence checks and maintain grey fleet documentation where applicable. Support the administration of vehicle incidents, insurance claims, fines, and PCNs, ensuring information is accurately recorded and passed to relevant parties. Ensure fleet-related data is handled in accordance with GDPR and company data protection policies. Support the preparation of compliance information for audits, inspections, and accreditations. Reporting & Data Management Maintain fleet management systems and databases, ensuring information is accurate, complete, and up to date. Prepare regular monthly fleet reports covering vehicle status, costs, defects, fuel usage, and other agreed metrics. Monitor fuel card and vehicle tracking data and flag irregularities or issues to the Vehicle Fleet Manager. Support ad-hoc reporting and data requests from internal stakeholders. Stakeholder Support Act as a first point of contact for routine fleet-related queries from drivers and internal teams. Liaise with suppliers, hire companies, workshops, and internal departments such as Finance, HR, and Operations to support fleet administration. Assist with fleet-related communications, driver guidance, and internal updates as required. Continuous Improvement & Team Support Support the Vehicle Fleet Manager in reviewing fleet processes and implementing agreed improvements. Assist with audits, accreditations, and internal reviews by preparing documentation and evidence. Provide cover for other team members within the Plant & Fleet Operations team when required, without detracting from core fleet responsibilities. Skills, Knowledge & Experience Experience Previous experience in an administrative, coordination, or office-based support role (fleet or transport experience desirable but not essential). Skills & Knowledge Organised, reliable, and able to manage multiple tasks to deadlines. Willingness to learn fleet, compliance, and transport related processes. Good communication skills and the ability to liaise with internal and external stakeholders. Strong attention to detail and ability to maintain accurate records. Technology Skills Experience using fleet management or asset management systems (desirable). Confident using IT systems, databases, and Microsoft Office (or equivalent). Qualifications GCSEs (or equivalent) in Maths and English. Full UK driving licence.
