The Educational and Transfer Coordinator ensures smooth transitions for learners between employers, supports engagement, and coordinates case management throughout the apprenticeship journey.
Responsibilities
Case Management & Coordination
* Address learner concerns and assess employer transfer suitability
* Organise case conferences and document decisions
* Collaborate on transfer or withdrawal decisions
Learner Transfer Process
* Match learners to suitable employer vacancies
* Oversee trial periods and gather employer feedback
* Ensure transparency regarding learner history
* Complete Employer checks and compliance paperwork as per DFE Funding requirements
Support & Monitoring
* Maintain communication during transfers
* Document job search efforts
* Run weekly Job Club sessions (Tuesdays in Plymouth, Thursdays in Bristol)
Administrative Duties
* Manage documentation via Panda-docs
* Finalize apprenticeship agreements and training schedules
* Raise Permit to Withdraw and Break in Learning requests
Skills Assessment & Course Re-Entry
* Arrange skills/trade tests
* Collaborate with tutors on course timelines
* Update individualised training plans
Collaboration & Stakeholder Engagement
* Work with Engagement, Curriculum and Sales teams
* Ensure compliance with funding and organizational standards
* Support learner re-engagement
General Duties
* Follow company policies and health & safety regulations
* Participate in appraisals and contribute to company goals
* Perform other reasonable tasks as requested
Qualifications & Skills
Essential:
* Experience in apprenticeship coordination or learner support
* Strong administrative and organizational skills
* Excellent communication and IT skills
* Knowledge of apprenticeship standards and safeguarding
Desirable:
* Experience with work-based learning
* Familiarity with MIS systems (e.g., Smart Assessor, PICS)
