Job Description
Key Responsibilities: Administrative tasks to include:
3. File opening in accordance with procedures to include data input, completion of internal forms and procedures, preparation of anti-money laundering documentation, setting up the paper file and file labels, preparing the initial letters for fee earner review
4. File closing in accordance with procedures to include data input, checking ledger balances, filleting files, returning client documents, completion of internal forms
5. Preparation of bills in accordance with procedures, to include collating disbursement receipts, liaising with accounts and preparing all documentation to be sent to the client in accordance with defined procedures
6. Filing time sheets, incoming correspondence, outgoing copies, invoices, reports and paper files in/out of the filing system. Assisting with file checking and organising in preparation for semi-annual quality audits.
7. Checking deeds in and out of the deeds storage facility. Collecting deeds from the floor and returning them to storage.
8. Printing, scanning, copying documents. Generally liaising with the document management centre on document production/collation tasks.
9. Ad hoc data input as and when required (CRM and PMS)
10. Maintaining Court of Protection calendar
Legal tasks as required including:
11. Drafting documents including deputy applications, Trustee Act applications, deputy reports, lasting powers of attorney, witness statements
12. Recording chargeable and investment time
13. Preparing correspondence and documents on Court of Protection Wills Trusts Probate and Lasting Power of Attorney matters
14. Liaising with clients and others by email, telephone and in person
15. Assisting the Court of Protection fee earners
16. Checking lengthy documentation and proofreading as required
17. Completing legal forms
18. Paying bills on behalf of clients
19. Submitting costs applications
The Successful Applicant
The successful candidate will have:
20. Previous experience working in this area of law in an administrative capacity in professional services is advantageous
21. Advanced working knowledge of Microsoft applications including Word, Excel and PowerPoint
22. Experience of using a legal Practice Management System is a distinct advantage
23. Strong communication skills
24. Highly literate and numerate with the ability to read and assimilate complex written information
25. Strong legal research skills
26. Focused on accuracy and attention to detail with the ability to proof-read
27. Well organised and able to work to deadlines and guidelines
28. Excellent written and verbal communication skills
29. A high level of IT proficiency
30. Good time management skills
