Outpatient Booking Coordinator

Are you highly organised, calm under pressure, and passionate about delivering excellent patient care? We are looking for a proactive and detail‑focused Outpatient Booking Coordinator to join our Clinical Genetics team and help ensure the smooth running of our busy outpatient service.
As an integral member of the administrative team, you will be responsible for coordinating all aspects of outpatient bookings within the Clinical Genetics service. Your work will directly support patients, families and clinicians by ensuring appointments are managed efficiently and clinic capacity is fully utilised in line with Trust targets.

Main duties of the job
In this role, you will
Process referrals from GPs, consultants and other healthcare professionals, ensuring accurate data entry on PAS and EDMS systems.
Book, reschedule and cancel outpatient appointments in line with clinic capacity, departmental procedures and Trust waiting‑time standards.
Communicate with patients, parents/guardians and external organisations, providing clear information and resolving queries with tact and sensitivity.
Liaise daily with Consultants, Genetic Counsellors and Coordinators to ensure clinics are fully utilised and capacity issues are escalated promptly.
Maintain accurate patient records, avoiding duplicate registrations and ensuring all correspondence is scanned and filed correctly.
Support the management of clinic booking rules, adjusting appointment slots and monitoring utilisation to maximise efficiency.

* Confident IT skills, including experience with administrative or clinical systems

Person Specification
Qualifications & Training
* Educated to GCSE standard, including English or equivalent
* NVQ Level 3 or equivalent experience
* GCSE in Mathematics
Experience
* Previous experience of working in a busy multidisciplinary team environment
* Experience with working with different computer software and information systems
* Experience of good customer or patient care
* Experience of using Patient Administrative System and EDMS
* Experience of working with medical, nursing and medical secretarial staff
Knowledge & Skills
* Good verbal and writing communication skills with team, clients and relatives using tact when required
* Good time management skills with the ability to prioritise work according to deadlines
* Ability to deal with conflict
* Ability to engage with and motivate others
