Role Overview
We are seeking a highly organized and proactive Commercial Property Administrator to provide essential administrative support to our team of Commercial Property Negotiators. The successful candidate will play a key role in ensuring smooth operations, efficient management of property portfolios, and first-class service delivery to clients.
This role requires excellent attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Administrative Support:
* Assist negotiators with day-to-day administrative tasks, including preparing documents, correspondence, and reports.
* Maintain and update property databases, CRM systems, and filing systems.
* Manage incoming calls, emails, and enquiries, ensuring they are dealt with promptly or redirected appropriately.
Property Management Coordination:
* Prepare property particulars, brochures, and marketing materials for new instructions.
* Coordinate property viewings, liaising between clients, landlords, tenants, and negotiators.
* Assist with drafting heads of terms, lease documentation, and other transactional paperwork under supervision.
Compliance & Records:
* Ensure all property files are maintained in line with company standards and compliance requirements (AML, GDPR, etc.).
* Track key lease dates, renewals, rent reviews, and break clauses, flagging upcoming deadlines to negotiators.
Client Support:
* Provide a first point of contact for client enquiries, delivering a professional and courteous service.
* Support in preparing presentations, proposals, and client reports.
General Office Duties:
* Assist with diary management, scheduling meetings, and booking appointments.
* Support finance teams with invoicing, purchase orders, and basic account queries relating to commercial property transactions.
Skills & Attributes
* Strong organizational skills with the ability to multitask and prioritize effectively.
* Excellent written and verbal communication skills.
* Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
* Experience using property management or CRM software (desirable but not essential).
* High attention to detail and accuracy.
* Ability to work both independently and as part of a team.
* Professional, confident, and client-focused approach.
Qualifications & Experience
* Previous experience in property administration, commercial real estate, or a related sector preferred.
* Knowledge of commercial property processes (lettings, sales, lease management) advantageous.
* A minimum of 2 years' administrative experience.
