The Quality Administrator will provide dedicated and structured support to the organisation’s quality function. It ensures the day‑to‑day control, coordination, and upkeep of quality documentation and project deliverables are consistently managed.
The role acts as the operational backbone of the quality system, maintaining the accuracy, integrity, and timely flow of information required for ISO 9001 compliance. By owning the administrative and coordination workload, the role is responsible for ensuring the accuracy, consistency, and compliance of project documentation prior to client submission. It supports the wider quality and document control functions by liaising with internal and client teams, maintaining internal documentation systems, and upholding established quality standards. The position reports directly to the Quality Manager.
What you’ll be doing:
* Liaise with client departments to clarify requirements, resolve documentation queries, and ensure alignment with project and contractual standards.
* Conduct detailed quality checks on all outgoing documentation to verify accuracy, completeness, formatting, and compliance with client specifications.
* Upload, manage, and submit approved documentation through client systems such as Teamcenter and ProjectWise, ensuring timely and compliant delivery.
* Maintain and update internal document registers to support accurate tracking of deliverables, version control, and audit traceability.
* Provide operational support to the Document Controller, assisting with document workflows, metadata updates, distribution processes, and adherence to document control procedures.
* Prepare status updates and quality reports for the Quality Manager, highlighting risks, recurring issues, trends, and opportunities for process improvement.
* Contribute to continuous improvement activities within the quality and document management functions, supporting enhancements to processes, templates, and compliance practices.
What we’re looking for:
Essential:
* Exceptional attention to detail and a methodical approach to reviewing and validating documentation.
* Experience using document management systems, ideally including Teamcenter or ProjectWise.
* Strong communication skills and confidence when liaising with internal teams and client representatives.
* Ability to work independently with sound judgement and proactive learning.
* Competence in maintaining structured registers, logs, and databases with accuracy and traceability.
* Ability to meet deadlines while consistently upholding high quality standards.
Desirable:
* Previous experience in a quality, document control, or administrative role within engineering, construction, or a project‑based environment.
* Familiarity with the Microsoft Power Platform (Power BI, Power Automate, Power Apps).
