Your new role
As an Admin Assistant, you will provide vital administrative, scheduling and coordination support to both internal teams and external customers. Your duties will include:Scheduling & Coordination
1. Coordinating and scheduling work for field‑based staff
2. Contacting customers via phone and email to arrange appointments
3. Reviewing missed appointments and rescheduling where necessary
4. Chasing purchase orders for planned and reactive tasks
5. Reminding staff to update trackers and internal systems
6. Responding to general customer queries
7. Supporting internal reporting requirements when needed
Job Closure &pliance
8. Checkingpleted job sheets for required signatures
9. Closing downpleted tasks within internal systems
Document Control
10. Scanning and attaching job sheets, handwritten notes and relevant documentation
11. Uploading documents to internal systems and call records
12. Maintaining spreadsheets, certificates and administrative logs
13. Merging invoices with job sheets and issuing them to customers
Call Handling &munication
14. Answering iing calls from customers and internal teams
15. Providing regular job updates and reports via email
16. Reviewing out‑of‑hours call activity and following up on missing information
This role also includes general office administration, weing visitors, maintaining documentation and supporting the wider helpdesk and operations team.
What you'll need to succeed
17. Previous experience in an administrative or office support role (minimum 2 years)
18. Strongmunication and organisational skills
19. Confident using email systems, spreadsheets and internal databases
20. Ability to prioritise tasks and work both independently and as part of a team
21. Friendly, reliable and professional approach
