Job Purpose
This role combines front desk service with administrative and facilities support, ensuring the smooth operation of the building while maintaining the highest standards of professionalism, service, and compliance for office and retail customers.
Reporting to the Head of Facilities Management, you will support the team by taking a proactive approach to service delivery, performing hotel-style concierge duties, troubleshooting on site, maintaining statutory compliance, and coordinating with contractors.
A key responsibility will be managing communal building amenities, including the rooftop terrace and basement gym/end-of-trip facilities, to enhance the experience of both internal and external users and contribute to the overall efficiency and quality of the building.
Key Responsibilities
Front of House Excellence
* Act as the building’s ambassador, creating a welcoming and professional first impression for all occupiers, clients, and visitors while demonstrating Unity’s core values of collaboration, excellence, integrity, and endurance.
* Deliver consistently high-quality customer service, managing on-site relationships and ensuring queries and concerns are addressed efficiently, discreetly, professionally and on site as much as possible.
* Maintain the reception area to a high standard, ensuring it is efficiently organized and welcoming.
* Professionally manage all incoming calls, emails, and in-person enquiries.
Building & Facilities Operations
* Conduct regular, detailed site and property inspections to ensure cleanliness, safety, building systems are operating optimally and overall standards are maintained, taking a proactive lead in resolving any building issues in collaboration with the Head of Facilities Management.
* Log and report maintenance issues or service concerns through the Unity CAFM system.
* Monitor compliance with health, safety, and environmental standards in line with Unity policies and statutory requirements.
* Support the Facilities Management team in achieving operational excellence and ensuring the smooth day-to-day running of the building.
* Foster a positive community environment within the building by coordinating events and arranging local benefits that enhance the experience for Byron House occupiers.
Occupier & Contractor Liaison
* Foster strong working relationships with customers, understanding their needs and responding to service requests promptly and professionally.
* Coordinate with contractors and service providers to ensure quality, compliance, and minimal disruption to tenants.
* Manage and monitor contractor activity on site, including issuing and controlling Permits to Work.
* Support the delivery of building services (cleaning, security, M&E) to maintain high levels of satisfaction and performance.
Security, Access & Amenities Management
* Administer and control the building’s key and access systems, including fob issuance and accurate logging.
* Oversee CCTV and access control operations in line with building protocols and data privacy policies.
* Manage amenity areas efficiently, including event spaces and gym facilities, ensuring daily availability, cleanliness, and smooth operations. Lead coordination with external third-party operators for marketing and arranging ad hoc use of building facilities as required.
Administrative & Compliance Support
* Maintain accurate site documentation, compliance records, incident reports, and asset logs.
* Assist with statutory compliance processes, including fire safety, first aid, and accident reporting.
* Monitor and evaluate service delivery performance to ensure occupiers receive efficient, high-quality support.
* Provide ad hoc administrative support to the Facilities Management team and contribute to continuous service improvements.
Candidate's profile
Essential Skills & Experience
* Proven experience in front-of-house, concierge, or client-facing roles within a commercial or professional environment.
* Excellent verbal and written communication skills, with the ability to interact professionally and effectively with stakeholders at all levels.
* Strong organizational abilities, with attention to detail and the ability to manage multiple tasks under pressure.
* Experience managing on-site building amenities, including event spaces and wellness facilities.
* Proficient in Microsoft Office and able to quickly learn bespoke systems, including CAFM platforms.
* Familiarity with compliance systems, permits-to-work processes, and contractor management.
* Proactive mindset with the foresight to deal with building management matters before they become wider problems
