We are recruiting for an Administration Assistant to join our Estates Team based at Mabgate Campus.
You will play a vital role in supporting the smooth operation of Estates team. by providing essential administrative support to the Estates team, acting as a key point of contact for internal and external stakeholders. Your organisational skills and attention to detail will ensure efficient management of communications, documentation, and day-to-day tasks that contribute to the overall effectiveness of the department.

What You Will Do
1. Provide administrative assistance to the Estates & Campus Facilities management team.
2. Serve as the initial point of contact for routine inquiries from various sources, including internal staff, contractors, consultants, and suppliers.
3. Manage the Estates help desk system and associated processes, including generating standard system reports as needed.
4. Develop and maintain the department’s filing, document storage, and retrieval systems, ensuring proper handling of confidential materials.
5. Coordinate meetings for senior managers by sending invitations, resolving scheduling conflicts, preparing agendas, securing venues when necessary, and managing note-taking, approval, and distribution in collaboration with the meeting chair or organiser.
6. Oversee departmental inventory, including ordering general stationery and pre-printed materials.
About You
7. Must have a Literacy & numeracy qualification at Level 2.
8. Previous experience of delivering exceptional customer service and administration.
9. Experience of taking minutes, creating meeting agendas.
10. Excellent communication skills both verbal and written.
11. Must be able to use Microsoft Office and google packages.
12. Able to prioritise your own workload to meet deadlines set.
