Key Responsibilities
Venue Finding
* Sourcing venues globally
* Working to specific client briefs and budgets to ensure suitable venues are presented
* Presenting venues in various formats (google decks, PowerPoint etc.)
* Arranging and/or attending venue site visits
* Negotiation with venues to align with client expectation
* Managing work load to adhere to various timezones
Event Coordination
* Plan, organise, and deliver a wide range of events (conferences, dinners, incentives)
* Act as the main point of contact for clients throughout the event lifecycle
* Prepare event schedules, run sheets, and logistics plans
* Ensure all event requirements are met, including catering, AV, staffing, and décor
* Events are managed both onsite or remotely
* Able to work evenings depending on event agenda
Client and Supplier Liaison
* Build and maintain strong relationships with clients and suppliers
* Attend business development events with both clients and suppliers
* Attend industry exhibitions and familiarisation trips to build knowledge and contacts
Administrative Duties
* Maintain an organised inbox, OneDrive and any other platforms/systems
* Ensure accurate records, to-do lists and progress timeframes are managed daily
* Assist with marketing activities, including promoting the company via its social media platforms
Person Specification
Essential:
* Excellent organisational and time management skills
* Strong use of Microsoft Office
* Strong communication and interpersonal abilities
* Ability to work under pressure
Desirable:
* Industry experience
* Degree or qualification in Events Management, Hospitality, or a related field
