Company Description: Water Utility Company based in Yorkshire region of England.


Job Details

* Base Location: Western House, Buttershaw, Bradford
* Working Hours: 10am - 2:30pm, Monday to Friday
* Salary and Benefits: £14,893 - £17,459 per annum (pro‑rated due to reduced hours) + bonus, pension, life assurance, holiday pay including bank holidays and other non‑contractual benefits


Purpose of the Role

Deliver an efficient and diverse Workplace Experience Service function (Reception, Helpdesk and Mail room services all under one role). First point of contact for all building users, visitors, and contractors for both physical attendance and internal portal/Samanage and email requests.


Key Accountabilities (Specific to the Role)

* Act as the prime facilitator for all reported issues/concerns and queries between all parties.
* Coordinate internal and external resources as necessary.
* Manage all site booking in/out protocols, including induction processes for visitors/contractors.
* Answer incoming phone calls in a timely and polite manner; determine the purpose of the call; take ownership of queries and provide correct information.
* Ensure all incidents/requests reported are logged and raised on SAM and dealt with in a professional and efficient manner, providing feedback and updates as required.
* Manage mail controls: receipt, distribution, processing, franking and bagging external mail collections and processing courier requests.
* Log/record dedicated paperwork including RAMS/good receipts and POs.
* Escalate major issues/concerns to WE Manager.


Generic Accountabilities

* Prioritise workloads according to priority coding.
* Build and maintain strong working relationships with customers and stakeholders.
* Adhere to internal control procedures and enforce policy compliance.
* Undertake training as necessary for role development.
* Ensure compliance with all regulatory & statutory obligations.
* Ensure health & safety and wellbeing of self and colleague.
* Attend and participate in team meetings.
* Consistently demonstrate company values, appropriate behaviours, and high ethical standards.
* Take ownership of room bookings.


Essential Knowledge and Skills Required

* Able to cover various roles within the administration team (including holiday cover).
* Excellent standards of customer service.
* Experience of working in a customer‑facing environment.
* Attention to detail and accuracy.
* Ability to follow documented policy and procedures.
* Ability to prioritise tasks and prove time and workload management.
* Ability to maintain confidentiality.
* Problem‑solving with a practical common‑sense approach.
* Work as part of a team and demonstrate team building skills.
* Flexible approach.


Desirable

* Experience in process automation.
* M&E understanding.
* H&S understanding.
