Job Description Assystem is looking for an enthusiastic and experienced Business Support Assistant to join our Newcastle office. This is a varied and rewarding role providing administrative support to the Business Services Team and Department Heads. We are seeking a professional, well-presented individual with strong communication skills and excellent attention to detail. The successful candidate will have a flexible, positive attitude, be willing to “pitch in” where needed, and thrive in a busy office environment. Key Responsibilities Reception & Front of House Receptionist duties including welcoming guests and meeting hospitality duties Ensuring the Assystem visitor protocol is followed including checking ID and signing in guests Security Officer duties (Responsible Security Officer) Onboarding & Offboarding New starter onboarding, assisting with the issuing of passes etc Performing office inductions Assisting with the leavers process, return of passes and IT Health, Safety & Compliance Acting as Responsible Health and Safety Officer (RHSO) Representing the Newcastle office at Health and Safety meetings First Aider (training will be provided) Fire Marshal (training will be provided) Office & Facilities Management Responsible for post and parcel collection and deliveries to and from Building Reception; opening post, date stamping and distributing to colleagues on a timely basis Maintaining office systems, including data management and filing Manage office supplies including stationery and consumables; maintain coffee machine Supporting the UK central Business Services team with office maintenance and repairs including hosting contractors Organise catering for corporate events or meetings as required Creation and maintenance of key holder rota and ensure it is adhered to Build and maintain excellent relationships with the onsite building management team General Business Support Raising Purchase Requests/Orders to suppliers using ERP system Supporting travel bookings Other reasonable business support tasks as requested by the Business Unit Qualifications Previous experience in an administrative or office support role Professional and well presented Strong communication and interpersonal skills Excellent attention to detail Ability to prioritise tasks and work to deadlines Flexible, positive and team-oriented approach Additional Information Why Join Us? ✨ Be part of dynamic construction and engineering projects ✨ Work in a collaborative and professional environment ✨ Develop your skills within a structured and well-supported team Please be aware that many roles at Assystem are subject to both security and export control restrictions. All applicants must as a minimum achieve Baseline Personnel Security Standard. Many roles also require higher levels of National Security Vetting where applicants must typically have 5 to 10 years of continuous residency in the UK depending on the vetting level required for the role, to allow for meaningful security vetting checks.We will consider Inside IR35 Contractors or permanent staff.
