Receptionist Administrator – Broadmead Surgery
We are looking for a friendly and efficient Receptionist Administrator to join our team for 25 hours per week. The role is permanent, part‑time, with shifts from 13:00 to 18:30 Monday to Friday and Saturday cover 9:00 to 13:00 according to a set rota.
Job Summary
Provide a welcoming reception service to all visitors and telephone enquiries, ensuring the patient appointment system runs smoothly. Perform administrative duties, including medical records maintenance, repeat prescribing and related tasks. The role requires a calm, empathetic approach and the ability to work collaboratively within a busy GP practice.
Key Responsibilities
* Welcome, register and assist patients for appointments.
* Answer and record phone calls, and forward messages promptly.
* Maintain an efficient appointment system and manage home‑visit requests.
* Send invitations for annual reviews and manage daily referrals and prescriptions.
* Support medical records management, including scanning, filing and tagging.
* Provide general information to patients and explain surgery procedures.
* Ensure complete patient confidentiality at all times.
* Assist with requests for patient information from third parties, upholding data protection.
* Keep the reception area organised and tidy.
* Participate in team meetings, training and appraisal schemes.
* Support health, safety, infection control and equality and diversity policies.
Qualifications & Experience
* GCSE (or equivalent) in any subject.
* Basic computer skills and proficiency with Microsoft Office.
* Experience in a patient‑facing role, ideally within a healthcare setting.
* Excellent communication, customer care and organisational skills.
* Commitment to professionalism, flexibility and a supportive team attitude.
* Knowledge of SystmOne or other clinical systems is desirable.

The post requires a DBS check under the Rehabilitation of Offenders Act (Exceptions Order) 1975.
