Administrator, East Belfast, 26k per annum, Immediate start

You will be part of a dedicated team working to ensure smooth day‑to‑day operations across the office.Your new role As an Admin Assistant, you will provide vital administrative, scheduling and coordination support to both internal teams and external customers. Your duties will include:Scheduling & Coordination
* Coordinating and scheduling work for field‑based staff
* Contacting customers via phone and email to arrange appointments
* Reviewing missed appointments and rescheduling where necessary
* Chasing purchase orders for planned and reactive tasks
* Reminding staff to update trackers and internal systems
* Responding to general customer queries
* Supporting internal reporting requirements when needed
Job Closure & Compliance
Checking completed job sheets for required signaturesClosing down completed tasks within internal systems
Document Control
Scanning and attaching job sheets, handwritten notes and relevant documentationUploading documents to internal systems and call recordsMaintaining spreadsheets, certificates and administrative logsMerging invoices with job sheets and issuing them to customers
Call Handling & Communication
Answering incoming calls from customers and internal teamsProviding regular job updates and reports via emailReviewing out‑of‑hours call activity and following up on missing information
This role also includes general office administration, welcoming visitors, maintaining documentation and supporting the wider helpdesk and operations team. xkybehq What you'll need to succeed
Previous experience in an administrative or office support role (minimum 2 years)Strong communication and organisational skillsConfident using email systems, spreadsheets and internal databasesAbility to prioritise tasks and work both independently and as part of a teamFriendly, reliable and professional approach
