Main Purpose of the Role: As the PA to the Chief Executive, you will provide confidential and comprehensive administrative support, ensuring the smooth running of operations at the executive level. Maintain the Chief Executive's diary and schedule appointments for optimal time management. Prepare weekly itineraries and manage monthly expense submissions. Handle requests for scientific papers via Research Gate effectively. Maintain accurate contact details and manage the RHS Reception invitation spreadsheet. Organise travel and accommodation arrangements for the Chief Executive. Coordinate internal meetings, prepare agendas, take minutes, and maintain action trackers. Design and uphold efficient administrative systems, ensuring a robust audit trail. Support the Honorary Associate and Honorary Fellow schemes, and provide secretariat for the Hutton Tercentenary campaign. Assist the Governing Board with administrative tasks, including meeting attendance and minute-taking. Who Are We Looking For? To thrive in this role, you should possess: Significant Experience: Proven track record in providing PA/administration support to senior management. Project Administration Skills: Experience in managing documents and projects efficiently. Deadline-Driven: A demonstrated ability to meet tight deadlines and work under pressure. Higher Education Background: Experience in a higher education or research organisation is desirable. Database Management Knowledge: Familiarity with database management systems is an advantage. Essential Skills: Excellent IT skills to navigate various software and platforms. Outstanding communication skills, both oral and written, to engage effectively with stakeholders. Strong planning, prioritisation, and organisational abilities to keep everything on track. A proactive approach, capable of working independently and collaboratively within a team.
