Ashton Gate Stadium is a unique sports and entertainment business that provides integral support services to ensure the sustainability of the flagship clubs in the Stephen Lansdown sporting group, including Bristol Sport, Bristol City, Bristol Bears and Bristol Flyers Basketball. The Retail Admin Assistant role is based in Bristol, England, United Kingdom and plays an essential part in supporting the retail team with a wide range of administrative tasks, online order processing and customer service.


Job Purpose

As a Retail Admin Assistant you will play an essential role in supporting the store with administration tasks, such as fulfilling online orders and coordinating communication between the store and supporters. You will also assist the buying team in busy periods; placing orders and maintaining an accurate record of these. This role goes beyond retail – it’s about contributing to the overall supporter experience, therefore exceptional customer service is a must.


Key Responsibilities

* Maintain up‑to‑date knowledge of club results and news to engage confidently with supporters.
* Process card and digital payments efficiently and accurately, following all transaction handling procedures.
* Ensure compliance with company policy and procedures.
* Lead and role‑model for the casual team to deliver required standards and training.
* Handle online and telephone customer inquiries in a timely and efficient manner.
* Escalate complaints to managerial staff when required.
* Organise and label stock for efficient space utilisation and rapid identification.
* Monitor stock levels, conduct periodic stock checks and flag discrepancies promptly.
* Record and report stock discrepancies, damaged items and operational issues to the Assistant Store Manager or Retail Manager.
* Maintain records of online orders awaiting fulfilment or requiring managerial attention.
* Manage and maintain supplies needed for online order fulfilment.
* Keep the fulfilment station clean, safe and organised, adhering to health and safety procedures.
* Accurately pick, pack and prepare products for online orders, ensuring correct items, sizes and quantities are dispatched.
* Monitor stock for online orders and inform the team of low stock or issues.
* Apply training correctly and mark orders appropriately in the system.

* Friendly, confident and customer‑focused.
* Reliable team player who is flexible and positive, especially around matchdays, evenings and weekends.
* Strong communication and interpersonal skills.
* Passionate about providing outstanding customer service.


Desirable Qualities

* A passion for sport and pride in representing our group of clubs.
* Previous retail or customer‑facing experience (full training will be provided).
* Experience using a retail stock system.


Salary & Hours

Salary: £25,000 per annum
Hours: 37.5 hours per week
